We are currently looking for a highly organized and detail-oriented Buyer's Administration Assistant to join Seed Heritage.
Reporting to the Production Coordinator, the Buyer's Administration Assistant plays a key role in supporting the Women's Accessories Design & Buying Team by managing purchase orders, tracking deliveries, and providing general administrative and design support.
This role is critical to ensuring all product orders are accurately captured, tracked, and delivered on time across AU and NZ regions.
The Role
Liaise daily with suppliers regarding purchase orders
Manage day-to-day tasks such as receiving post, sending parcels, and arranging supplier pick-ups
Unpack samples and distribute to relevant departments
Print presentation and design packs, as well as style files, ensuring accuracy and timely updates
Support Design Assistants with online copy drafts and documentation
Compile monthly style files for buy presentations, including apparel key looks, colour palettes, and grids
Assist with sample clearance, warehouse storage, and sample sales
Maintain department design boards, safety, and cleanliness
Raise all purchase orders for Women's Accessories across AU and NZ regions and send to suppliers
Update POs with shipping and delivery information, re-sending updates to suppliers as needed
Run daily and regular purchase order reports to track deliveries and ensure accuracy
Raise buy plan lines per department when required
Check swing ticket details, material/fabric composition, and other product data in D365
On-site role 5-days per week, based in our St Kilda Road offices
The Ideal Candidate
Previous experience in a buying, production, or merchandise administration role within a retail or fashion environment (highly regarded)
Experience working with ERP systems (D365 experience highly advantageous)
Intermediate skills in Microsoft Office Suite, particularly Excel, Outlook, and PowerPoint
Relevant tertiary qualifications in Fashion, Business, or a related field (preferred but not essential)
Exceptional attention to detail with a high level of accuracy in data entry and order management
Strong organisational and time-management skills with the ability to manage multiple priorities and deadlines
Excellent written and verbal communication skills for effective liaison with suppliers and internal stakeholders
Proactive approach to problem-solving and the ability to work both independently and collaboratively within a team
A can-do attitude, with the willingness to learn and take on new challenges
