About the role
The Facilities Manager supports Vera Living's Asset Management Team in all activities required for the effective, safe and efficient management of Vera Living's SDA portfolio in Western Australia.
This is a hands on role suited to a high performing facilities professional who is comfortable operating across both coordination and oversight. The role retains direct responsibility for day to day facilities coordination activities along with accountability for quality, judgement, stakeholder management and outcomes.
The role is based in Perth and reports to the National Facilities Manager.
Key accountabilities
Key responsibilities include, but are not limited to:
* End to end coordination of preventative, reactive and corrective maintenance across a defined portfolio of SDA assets
* Entering and maintaining property and maintenance data, records and reports
* Developing preventative maintenance schedules and proactively identifying emerging maintenance risks
* Triaging maintenance issues, applying sound judgement around urgency, risk and escalation
* Engaging, managing and coordinating external trades including sourcing quotations, coordinating access and ensuring works are completed to agreed standards, timeframes and budgets
* Reviewing and managing contractor compliance documentation including insurances, SWMS, inductions and pre start requirements
* Attending sites to provide access, diagnose issues, meet with contractors and inspect completed works
* Assisting with portfolio budgets and negotiating service agreements with preferred suppliers
* Conducting inspections of works and completing annual property condition reports
* Managing defects during defect liability periods
* Undertaking minor repairs where appropriate
* Coordinating repairs with the Tenant Experience team, tenants and their support networks
* Representing Vera Living on site with tenants, care providers, strata managers and asset owners
* Monitoring, reporting on and improving maintenance KPIs, response times and service quality
* Overseeing portfolio expenditure and approvals as directed by the National Facilities Manager
* Processing invoices and supporting financial controls
* Attending regular meetings with key trade partners to ensure quality and performance standards are upheld
* Attending strata committee meetings as required
* Evaluating new trade suppliers or services
* Researching new services, appliances and solutions to support operational efficiency
* Ensuring compliance with WHS requirements and relevant regulations
* Maintaining required NDIS Worker Clearances and certifications
About you
This role requires someone who is comfortable being hands on, organised and accountable, while also exercising strong judgement and ownership over outcomes.
Ideally, you will have:
* Experience in facilities management, property maintenance coordination or a senior facilities coordinator role
* Demonstrated ability to manage competing priorities in a fast paced environment
* Strong organisational skills and attention to detail
* Sound judgement and the ability to act calmly and decisively, including in urgent or high risk situations
* A solid understanding of WHS obligations and safe work practices
* Practical knowledge of residential assets, building systems, equipment and appliances
* Strong communication and stakeholder management skills
* Confidence dealing directly with trades, strata managers, tenants and asset owners
* Competence using technology and systems including email, calendars, Microsoft applications, Salesforce, Rapid Contractor or similar platforms
* Willingness to work independently
* Willingness to travel locally as required
