Overview
We are seeking a highly organised and proactive Project Administrator to join our Project Team and support the delivery of multiple, complex projects. Working closely with our Project Directors and Project Managers, you will support day-to-day organisation, coordination and communication across projects. While this is an administrative role, preference will be given to candidates with project management or project coordination experience, particularly those who have supported projects in industrial, infrastructure or government environments. This role is suited to someone who understands project lifecycles, governance and reporting requirements and enjoys working in a fast-paced project environment.
Key Responsibilities
* Provide high-level administrative support to Project Directors and Project Managers, including meeting coordination, diary management, minute taking and document preparation
* Support project deliverables by assisting with the development, formatting and maintenance of key project documentation and resources
* Coordinate activities across multiple projects, including agendas, actions, file management and correspondence
* Maintain effective working relationships with internal stakeholders and project partners to support successful project outcomes
* Support the development and implementation of project processes, including governance, safety and document control practices
* Coordinate onboarding and training for new project team members
* Manage SharePoint and/or Microsoft Teams sites for assigned projects
* Ensure all interactions demonstrate a responsive, professional and customer-focused approach
* Undertake additional tasks aligned with the role as directed by Project Directors
You are an experienced administrator who understands how projects operate and enjoys supporting delivery teams in structured, regulated environments. You bring attention to detail, strong communication skills and the confidence to work across multiple priorities.
To be successful, you will have
* Australian citizenship and eligibility to obtain and maintain a Defence security clearance
* Demonstrated experience in project administration, project coordination or a project support role
* High-level organisational skills with the ability to prioritise tasks, meet deadlines and solve problems proactively
* Strong written and verbal communication skills, including experience preparing reports, correspondence and meeting minutes
* Proven ability to build relationships and liaise effectively with a wide range of stakeholders
* Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and online collaboration tools
* A strong commitment to confidentiality, professionalism and teamwork
* A relevant qualification and/or at least 3 years' experience in an industrial, infrastructure or government project environment
