Job Title: Operations Coordinator
We are seeking a highly organized and detail-oriented Operations Coordinator to join our team in a regional setting. This is a contract role for 8 weeks with the possibility to extend.
The successful candidate will provide administrative support to supervisors and program teams, contributing to the effective delivery of infrastructure and maintenance programs.
Key Responsibilities:
- Provide day-to-day administrative support to supervisors and program teams.
- Create and maintain work orders and monitor progress in corporate systems.
- Enter and manage project budgets, ensuring accurate forecasting and tracking.
- Perform monthly billing tasks: review unbilled costs, investigate discrepancies, and prepare customer documentation.
- Review and validate system data; prepare journals, credits, and update records as required.
- Manage procurement processes: raise purchase requisitions, process payments, and resolve open purchase orders.
- Validate contractor invoices through web portals and liaise with contractors to resolve inconsistencies.
- Compile and maintain high-quality documentation and reports using Microsoft Office.
- Attend project update meetings to ensure program data accuracy for customer reporting.
- Identify and escalate financial performance issues and update system data accordingly.
- Maintain project records in line with record management protocols.
- Reconcile and close completed projects in a timely manner.
Requirements:
- Experience in administrative or project support roles, ideally within a government or infrastructure environment.
- Strong data entry, record keeping, and document preparation skills.
- Proficiency in systems such as Ellipse, Aurion, and Microsoft Office.
- Sound understanding of billing, procurement, and financial reconciliation processes.
- Ability to work independently and collaboratively within a team.
- Strong attention to detail and a commitment to accuracy and deadlines.
