Job Description
Key Responsibilities
* Administer building contracts from award through to handover
* Manage variations, extensions of time, progress claims and reporting
* Maintain control of project budgets, costs and cash flow
* Ensure projects are administered accurately, consistently and professionally
Program & Coordination
* Develop, manage and update project programs using Microsoft Project
* Coordinate architects, consultants and engineers through design and delivery
* Distribute and manage project documentation and information flows
* Identify, manage and mitigate project risks proactively
Stakeholder & Client Management
* Act as the primary point of contact for clients, consultants and key stakeholders
* Build confidence through clear communication and structured processes
* Manage expectations around program, cost, quality and delivery outcomes
* Maintain strong working relationships on live and complex projects
Team Leadership & Collaboration
* Work closely with Site Managers, Foremen and subcontractors
* Ensure site teams are supported with clear information and direction
* Coordinate project and consultant meetings as required
* Maintain alignment between office and site delivery teams
Systems, Process & Standards
* Use and promote agreed project systems (e.g. CAT Projects, Aconex where applicable)
* Move projects away from informal or spreadsheet‐only management
* Ensure documentation, reporting and administration are disciplined and consistent
* Help set and uphold standards for how projects are run across the business
Project Environment
* Projects include high‐end residential, commercial fitouts, alpine builds and regional infrastructure
* Typical project values range from ~$2m to $30m (upper end rare)
* Full‐time Site Manager on every project with CA support available
* Mix of metropolitan and regional work, with periodic travel required
What Success Looks Like
* Projects are well‐administered, structured and running with confidence
* Clients and architects are comfortable with processes and communication
* Programs are actively managed and clearly understood
* Pressure on the wider team is reduced
* Delivery standards are visibly lifted within the first 6 months
The Successful Applicant
* Have proven experience delivering building projects end‐to‐end in a commercial or high‐quality construction environment
* Be strong in contract administration, including variations, progress claims, extensions of time and reporting
* Have experience delivering architecturally detailed projects, fitouts or complex builds
* Be confident coordinating architects, consultants, subcontractors and site teams
* Communicate clearly and professionally, building trust with clients and stakeholders
* Be organised and proactive in managing programme, cost and delivery risk
* Be comfortable working with structured systems and formal project processes (or keen to adopt them)
* Enjoy working autonomously while collaborating closely with site and office teams
* Be open to a mix of metropolitan and regional project work, with periodic travel as required
Nice to have (not essential)
* Experience on government, education or community projects
* Familiarity with project management platforms such as Aconex or similar
