Department Coordinator, Product Development & Production

The Product Development and Production teams at New England Biolabs (NEB) are accepting applications for a full-time Department Coordinator/Administrative Assistant.

This role offers the opportunity to work within a dynamic company of scientists supporting two Executive Team Members and their departments.


Primary Responsibilities:

* Support calendar management, expense reports, meeting coordination, teleconference and video conference calls across multiple sites
* Support customer and collaborator visits
* Work cross-functionally to coordinate monthly department-wide meetings, including agenda development, securing meeting spaces, booking catering and accommodations, and engaging with internal stakeholders across the company
* Coordinate domestic and international travel including booking flights, accommodations, car service, travel visas, restaurant reservations, meeting space and the like
* Collate meeting notes and action items and drive follow-up on team-oriented projects
* Work closely with business analysts to provide details to key staff in both departments as needed
* Collaborate with other departmental coordinators to ensure communication and implementation of company-wide best practices
* Prepare communications and maintain/improve internal reports


Required Qualifications and Experience:

* Bachelor's degree (scientific focus preferred)
* Minimum 5 years' experience in an administrative or related role
* Strong work ethic and high integrity, emphasizing both efficiency and quality of work
* Excellent organizational skills and keen attention to detail
* Ability to work cross-functionally in a fast paced, dynamic environment
* Strong written and verbal communication skills with an understanding and appreciation of confidentiality needs of Executive Team Members
* Excellent computer skills and comfort with all aspects of Microsoft Office based applications
* Self-motivated and flexible with the ability to work independently and as part of a team
* Ability to multi-task and prioritize
* Professional, positive, and friendly demeanor
