The Experience Manager is a critical role charged with creating a friendly, efficient & seamless experience across one of the floors in our brand-new office space in Pyrmont. This role will service up to 300 people on an office floor that services different agency brands and external visitors. You will be accountable for influencing the whole employee experience across the entire business floor and will oversee an Experience Executive to deliver positive and memorable employee experiences.
Your scope will include:
* Accountable for creating and handling the overall employee & external visitor experience & standards for the entire working floor
* Main contact point for employees and external visitors on floor
* Creating a positive, friendly and fun office vibe on the floors
* Contributing to the organisation of cultural events on the floor & across the agency brands
* Oversee employee needs to ensure that the business floor is operating at a high standard
* Foreseeing any issues and ensuring as a team these are resolved
* Ensure the overall maintenance, facilities, servicing meets overall service standards
* Keep employees informed of any changes, updates & requirements
* Create positive communications to promote an engaging & fun office environment
* Create process on booking rooms and communicate to all
* Maintaining room bookings on outlook
* Be the internal stakeholder between brands to identify any space issues and find a suitable solution
* Accountable for the functioning & resolving any initial IT issues in meeting rooms
* Organise domestic & international flights for any senior staff requests. Oversee costs
* Liaise with Amex directly for all travel
* Oversee any catering orders for meetings on the floor
* Design and contribute to overall floor culture & events
* Work with brand heads, HR BP’s and EAs to help create and maintain brand cultures
* Organise Friday floor drinks trolley
* Coordinate with agency brands any social events
* Liaise with other experience managers
* Liaise with any media partners or external visitors on events for your brands
* Maintain the service and standard of the wellness rooms
* Ensure staff are communicated of services available
* Invoice management including new supplier set up, invoice reporting, reconciliation of Amex invoices
* Oversee an Experience Executive, providing them guidance, direction & career development
What type of person will be successful in this role
* Proven experience working in a customer service-related role
* You will have experience in overseeing various internal stakeholders at various levels
* You will have experience in successfully handling any internal conflict resolution & identify solutions to overcome the problem
* Aptitude to thrive in constant change and able to work through any roadblocks
* Proactive approach and anticipate issues before they might arise.
* IT savvy and have the curiosity to constantly develop your experience
* High achiever who is driven by customer service and people
* Excellent verbal and written communication experience
* Exceptional time management & organisational experience
* An aptitude to stay calm under pressure and influence by example
* Aptitude to work without direct guidance
* Knowledge of how to oversee a direct report
