FULL time Position: Mon - Thursday 8:30am - 5pm, Friday 8:30am - 2:30pm
We’re seeking a hands-on Customer Service and Despatch Officer for Wilson Fabrics, Australian Outdoor Fabrics, Bruck, and ISC.
You will be part of the Australian Textile Mills (ATM) which is a premier Australian woven textile manufacturing company based in Wangaratta Victoria, leading the way in the manufacture and supply of cutting-edge and decorative textiles, committed to providing premium fabrics for the military, emergency services and safety sector. Also providing quality blinds and moleskin fabrics.
You will work closely with the customer service team, sales and marketing team, despatch and warehouse personnel, planning department, and customers to deliver accurate, timely, and professional service every day.
Your responsibilities:
- Process Purchase Orders and Sales Orders accurately and in line with company procedures.
- Review and prepare inwards goods for next-day delivery, ensuring all details are correct.
- Reconcile returned Purchase Orders and maintain accurate documentation.
- Ensure customer documentation is complete and accurate before dispatch.
- Investigate and help resolve order or inventory discrepancies quickly and effectively
- Assist in physical despatch activities (picking, wrapping, lifting, coordinating freight).
- Provide prices, product information, certificates (e.g., Proban), and lab/test reports as requested.
- Raise miscellaneous sales requests, sample requests, and pro forma invoices (export/cash sales).
- Monitor cash sales accounts and process EFTPOS payments.
- Enter and manage quality complaints, returns, and ICFs.
- Liaise with external processors/makers for outsourced work.
- Assist with marketing enquiries and support stock management.
- Liaise with freight forwarders, carriers and customers to ensure accurate, timely deliveries
Who you are:
- Previous experience in customer service and/or administration (experience in logistics or supply chain highly regarded).
- Strong written and verbal communication skills with a customer-first mindset.
- High level of accuracy, attention to detail, and organisational ability.
- Proficient in Microsoft Office (Outlook, Excel, Word).
- Deliveries meet DIFOT (Delivery in Full, On Time) targets
- Ability to work both independently and as part of a team.
- Experience with warehouse operations, inventory management systems
- Able to safely perform manual handling and lifting
- Forklift licence preferrable
