Job Description
Full Time or Part Time Opportunity - We're looking for an organised, friendly and detail-focused Administrative Officer/Assistant to support our Therapy and Family Services team. This role plays a key part in keeping our day-to-day operations running smoothly, ensuring our clients, therapists and families are supported with efficient, accurate and caring administration.

About the role:
Reporting to the Support Planning Lead, you'll provide administrative support across client records, invoicing, systems administration (Cliniko) and general office coordination. You'll also contribute to improving processes and supporting best-practice service delivery.
This role is flexible and can be worked either part-time or full-time, depending on your availability and experience. Our hybrid model supports balance, with core in-office days (Tuesday, Wednesday, Thursday) and flexibility to work from home on Mondays and Fridays.
Main responsibilities of the role include:
Manage and maintain daily administrative processes for Therapy and Family Services fee-for-service programs
Prepare and process accurate invoices on a weekly or twice-weekly schedule
Work closely with the Accounts team to reconcile NDIS remittances, resolve billing discrepancies, and respond to parent and client account enquiries
Monitor aged debtors and outstanding invoices, escalating matters to the Lead Support Planner where appropriate.
Set up client records from referral, record referral details, and update records.

Well-developed administrative skills with strong attention to detail and accuracy
Proven ability to manage competing priorities, multitask effectively, and meet deadlines
High level of accuracy in data entry and record management
Intermediate to advanced proficiency in Microsoft Office, including Excel, and experience using Adobe
Strong communication and interpersonal skills, with confidence engaging clients, suppliers, external stakeholders, and colleagues
Demonstrated problem-solving skills with the ability to adapt to new systems and processes
Proactive, flexible approach with a commitment to improving processes and supporting team efficiency
You should also let us know if you have these other great skills:
Experience with Cliniko or other practice management systems.
Knowledge of the Deaf community, language, and culture
Auslan skills
Understanding of the NDIS, Medicare, and private health billing requirements.
