We are seeking a professional, organised, and personable Medical Secretary / Receptionist to join a busy private Orthopaedic practice. Reporting to the Practice Manager, this role is ideal for someone who is confident managing patient interactions, clinical administration, and surgeon support with accuracy and discretion.
The successful candidate must be comfortable working independently and managing responsibilities unsupervised to ensure the smooth running of consultations and patient care. Regular communication with the Practice Manager is essential to provide updates, address any issues promptly, and ensure workflows continue to run efficiently.
Key Responsibilities
* Welcoming patients and managing front desk reception
* Answering phone and email enquiries in a courteous and productive manner
* Scheduling and coordinating patient appointments
* Managing patient records, referrals, and correspondence
* Liaising with hospitals, allied health providers, GPs, and other specialists
* Preparing consultation lists and patient files for clinics
* Processing billing, receipting, Medicare/EFTPOS claims, and health fund paperwork
* Typing and formatting clinical letters and reports from dictation
* Managing surgical bookings, consent forms, and pre-operative documentation
* Ensuring the smooth day-to-day running of the practice
* Maintaining patient confidentiality and skilled standards at all times
Skills and Experience
* Previous experience in a medical receptionist or medical secretary role
* Familiarity with medical terminology
* Experience with medical software (e.g. Gentu or similar)
* Strong organisational skills and attention to detail
* Excellent written and verbal communication skills
* Ability to multitask and prioritise in a busy environment
* Professional presentation and compassionate patient manner
* Confidence handling billing, Medicare, and health fund claims
* Proficient in general computer use
