Key Responsibilities

• Oversee daily office administration, including maintaining office records, handling mail, printing, and managing accounts and expenses through the company's internal SAP system.

• Provide administrative support to management by organising meetings, preparing documentation, and facilitating internal communication in both English and German.

• Draft and prepare professional correspondence, reports, presentations, and meeting minutes in both English and German.

• Assist with the organisation and coordination of annual events such as COSMEDICON and ASAPS, as well as additional meetings and events as required.

• Serve as a main point of contact for the businesses national and international suppliers, contractors, welcoming visitors and service providers, as well as internal staff.

• Coordinating mail and courier services, and maintaining organised filing systems.

• Coordinate the dispatch and receipt of product orders.

• Support new employees through onboarding and induction processes, ensuring company procedures and SOPs are clearly understood and followed.

• Ensure staff records are accurately maintained and kept up to date.

• Undertake additional administrative and operational tasks as directed by management.

• Monitor office supply levels and place orders to ensure adequate stock is maintained.

• Maintain a clean, well-organised, and safe workplace in line with health and safety standards.

Qualifications and Experience
Qualifications:

• Certificate IV or Diploma in Business Administration, or equivalent practical experience.

• Fluent in Business German.

• A current First Aid Certificate is desirable.

Experience:

• Minimum of three years' experience in office management or a similar role, ideally within a German business environment.

• Proven ability to manage office operations and provide effective support to diverse teams.
Skills:

• Strong working knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.

• Excellent verbal and written communication skills in both English and German.

• Highly organised, with the ability to manage priorities and meet deadlines.

• Professional, flexible, and capable of working independently.

• Maintain a professional, organised, and presentable office environment.

• Communicate clearly, respectfully, and professionally with clients, suppliers, and colleagues.
