About the role
We have opportunities for experienced Accounts Payable Officer, who displays strong experience and communication skills to join ourhead office located in Townsville.
Reporting to the Accounts & Payroll Coordinator, you will be responsible for the accurate and timely processing of supplier invoices and payments, ensuring strong financial controls and positive supplier relationships.
This role supports the finance team and broader operations by managing accounts payable functions, maintaining accurate records, and providing general office coordination support.
The position requires high attention to detail, strong organisational skills, and the ability to work collaboratively with project teams to ensure efficient invoice approvals and cost allocation.
Key Responsibilities:
Accounts Payable & Financial Administration
* Data entry of supplier invoices into Xero.
* Coding and allocating costs accurately to projects and cost centres.
* Managing invoice approval workflows (ApprovalMax experience highly desirable).
* Filing and electronic document management of invoices and payment records.
* Preparation and processing of weekly/monthly payment runs.
* Performing credit card reconciliations.
* Reconciling supplier statements and resolving discrepancies.
* Credit account applications
* Assisting with month-end accounts payable close processes.
* Maintaining accurate and up-to-date creditor records.
Supplier & Internal Liaison
* Responding to supplier enquiries regarding payments.
* Following up project managers and site teams for invoice approvals.
* Assisting with credit account applications and maintaining supplier onboarding documentation.
* Building and maintaining professional relationships with suppliers.
General Office Coordination
* Answering incoming phone calls and directing enquiries appropriately.
* Managing office stationery and consumable orders.
* Coordinating office amenities and general office upkeep.
* Assisting with filing and administrative support as required
* Adhoc duties i.e banking & post
