DS Family Law is a busy Family Law Firm with offices in Perth, Midland, and Mandurah, practising exclusively in Matrimonial and De Facto relationship law. Based in Midland, our office is conveniently located close to the Midland Gate Shopping Centre.
About the Position
Our Midland office is seeking to recruit a Receptionist/Legal Assistant on either a part-time (3 full days per week) or full-time basis. We require a motivated and team-driven player who will have the ability to work harmoniously in a busy team with excellent attention to detail, along with good communication skills and a pleasant and professional phone manner. You will be the first point of contact for clients of the Firm and provide support to both the Managing Associate and Legal Assistant in the Midland Office. Experience in a similar office role (preferably in the Legal sector but not essential) is desirable.
The Role
As the Receptionist/Legal Assistant you will be providing support to the Managing Associate and other Solicitors when required.
Your day-to-day duties will involve:
* Performing administrative and routine clerical tasks such as organising files
* Answering incoming telephone calls, responding to queries efficiently, processing payments and managing reception
* Assisting the Legal Assistant with the overflow of general day-to-day tasks
* Managing and updating the Firm's filing system
* File and database management
* Opening and maintaining client files both in the system and hard copies
* Coordinating and scheduling appointments and meetings
* Drafting legal documents and correspondence
* E-filing Court Documents
* Monitoring FCWA notifications
* Preparing and updating Court briefs
* Petty cash management and reconciliation
* Using Dropbox for downloading and sending disclosure documents
* Liaising with IT regarding IT issues
* Liaising with Property Management regarding office issues
* Maintaining office inventory such as stationery and kitchen amenities
* Creating and updating client records, ensuring accuracy and validity of information
* Ensuring filing is done correctly and in a timely manner
* General office errands as required (mail collection, banking, etc)
* Assisting other staff members as and when required
Skills and Experience
To be considered for this opportunity, you must have:
* Current experience working as a Receptionist and/or Legal Assistant
* Experience in Family Law (highly preferable but not essential)
* A professional telephone manner
* Be well presented
* The ability to take initiative and work autonomously but also as part of a team
* Excellent organisational skills with high attention to detail
* Advanced skills in MS Office, specifically Word and Excel, with experience in Filepro and Actionstep an added advantage
* An ability to multi-task with proven time management skills and to prioritise appropriately
* An ability to identify opportunities for improvement in processes and procedures and to focus on implementing solutions
* Excellent verbal and written communication
