**Description**
**About the role**
We are currently seeking an **Administrator / Project Assistant** to provide proactive administrative support to a broad range of administrative functions and processes. This permanent opportunity will see you supporting our team in Ballarat, with the focus on working with project teams, authorities, contractors, and project administration.
This role will provide support to project managers to ensure all project and client obligations are met.

Our team consists of civil & structural engineers, surveyors, and planners, who work on a range of development and infrastructure projects locally and in the region. This role will be a key team member to facilitate delivery of those projects.
**Day to day tasks would involve**:
- To manage the subdivision processes associated with Land Development projects, ensuring all aspects are completed within set timeframes.
- Provide exemplary support to project managers, relating to the management, provision, and delivery of projects.
- Provide word processing, file organisation and maintenance, database filing, reporting, and administration support.
- Assist project managers with financial reporting and tracking of project spend.
- Coordination between service authorities, clients, project managers and contractors.
- General file management and record keeping.
- Manage/coordinate tender distribution, receipt and recording processes.
- Preparation of Payment Certificates and approvals for accounts.
- Ensure administrative systems operate effectively within the Office and staff at all levels are appropriately involved and informed of any system changes.
- Undertake all activities in a responsible and professional manner ensuring all work is completed in line with Stantec Core Values and established administrative processes.
**Qualifications**
**To be successful for this role you'll need**:
- Strong administration and organisation skills with the ability to multi-task
- A team player attitude with a pro-active and professional approach to work
- Advanced level skills in Microsoft office programs e.g. Word, PowerPoint and Excel
- High level attention to detail, sound copywriting, editing and proof reading and skills;
- Ensure the quality of documentation adheres to company design guidelines and is to a high standard.
- High level interpersonal skills with the ability to positively liaise with key stakeholders.
- Ability to work under pressure and to tight deadlines.
- Ability to work independently and in a team to supporting multiple projects and conflicting priorities.
- Ability to collaborate and foster a cohesive team environment with a proven ability to self-manage.
