Junior Administration Assistant - Including Accounts Receivable & Payable

The Position
Instrowest requires a Full-time Junior Administrative Assistant to join our team. Your primary focus will be Accounts Payable & Receivable. You will be required to work alongside our Order Management and Dispatch team and will have a good understanding of MYOB AccountRight. The position will be full-time, working 5 days per week (Monday-Friday) 9am to 5pm.
Administrative duties include (but are not limited to):
* Handle new customer account applications, check trade references, and forward them to the office manager for approval.
* Answer phone calls and direct them to the appropriate person.
* Manage the admin inbox and forward emails to the relevant departments.
* Accounts Payable: Process invoices and manage payments to ensure timely and accurate transactions.
* Reconcile vendor statements and resolve discrepancies.
* Enter and track credit card transactions.
* Process reimbursements for clients and employees.
* Accounts Receivable: Prepare and send out customer invoices promptly.
* Process credit card payments over the phone as requested.
* Monitor overdue accounts and follow up to ensure timely payments.
* Administrative Support: Provide general administrative assistance as needed.
Skills Required
* Experience in MYOB (preferred but not required)
* Experience Invoicing (preferred but not required)
* Experience and solid understanding of inventory control and stock management.
* Proven experience (minimum 1 year) in an Accounts Receivable/Payable role, preferably in Australia.
* Solid understanding of accounting/book keeping principles.
* Strong proficiency in using Microsoft Office Suite, including Excel, Word, Outlook and other internet tools and applications.
* Excellent organizational skills with strong attention to detail and accuracy.
* Ability to multi-task, maintain workload priorities and time manage whilst working autonomously.
* Strong communication skills, both written and verbal, with the ability to effectively communicate with internal and external stakeholders.
* Strong problem-solving skills and ability to resolve discrepancies and issues related to debtors and creditors accounts.
* High level of integrity and professionalism, with the ability to handle sensitive financial information confidentially.
* The successful applicant will report directly to the Office Manager. This position will be ready to start immediately.
