Your new role
As the Receptionist, you will be the first point of contact for clients, referral partners and visitors. You'll play a pivotal role in shaping the client experience and streamlining office operations.
Key responsibilities:
* Front-of-house management
o Answer and direct incoming calls with warmth and professionalism
o Schedule, confirm and reschedule appointments using our practice management software
o Greet clients on arrival, manage visitor logs and organise refreshments
* Office coordination & facilities
o Set up, pack down and maintain meeting rooms for internal and external events
o Monitor cleanliness of communal areas and liaise with external contractors as needed
o Order, track and replenish stationery, kitchen and printer supplies
* Administrative & technical support
o Operate, maintain and secure paper and electronic filing systems
o Coordinate incoming and outgoing mail, courier requests and document scanning
o Provide basic IT troubleshooting, liaising with our external IT provider
o Assist Directors, Partners, Managers and Accountants with ad hoc administrative tasks
* Events & team support
o Support event logistics and catering arrangements for client seminars and staff workshops
o Participate in continuous improvement initiatives to refine administrative processes
o Contribute to a positive team culture by sharing insights, feedback and best practices
What you'll need to succeed
* Proven experience in a receptionist or administrative role within a professional services environment
* Proficiency in Microsoft Office (Outlook, Word, Excel) and comfort learning new software applications
* Exceptional organisational skills, with the ability to prioritise and manage multiple tasks under tight timelines
* Excellent client-service mindset, demonstrating discretion, confidentiality and tact at all times
* Strong interpersonal skills, capable of building rapport with a diverse client base and internal stakeholders
* Ability to work autonomously and collaboratively, adapting quickly to changing priorities
