Job Title: E-Commerce & Customer Service Operations Assistant
Salary Range: Php 25,000-35,000
Working hours: 5:00 am to 1:30 pm PHT (subject to change)
Work Schedule: Monday to Friday
We're looking for a motivated Full-Time Assistant – Apparel, Homeware, E-Commerce & Customer Service to join our team! In this role, you will support the Director and Lead Buyer across apparel, homeware, and e-commerce operations. This role is integral to managing the product critical path, liaising with factories and suppliers, coordinating order placement, and ensuring timelines and production milestones are met. In addition, the assistant will manage online product listings, handle customer service, and support the daily operational workflow across multiple brands. The ideal candidate is proactive, reliable, and able to deliver consistent administrative and communication support in a fast-paced environment.
Key Responsibilities
* Maintain and update the product critical path across apparel, homeware, and lifestyle categories.
* Liaise daily with factories and suppliers to follow up on sampling, production progress, shipment status, and timelines.
* Prepare and place purchase orders, confirming quantities, pricing, materials, and delivery
* Track proforma invoices, order confirmations, labelling and packaging requirements, and
* Collate sample, lab dip, fitting, and PP sample comments into clear feedback packs (final approvals handled internally).
* Upload product photos, specifications, pricing, sizes, and descriptions to the e-commerce platform (content supplied internally).
* Maintain accuracy of all online listings and ensure they follow brand guidelines.
* Update online promotions, including sale pricing and campaign timing as directed.
* Manage customer inquiries via email or chat, providing timely, professional, and warm service.
* Resolve order, delivery, refund, or return-related issues, escalating to management when required.
* Prepare weekly reports on production status, order tracking, shipment updates, and customer service metrics, and e-commerce tasks.
* Provide general administrative support to the Director and Lead Buyer, including document preparation, supplier follow-ups, schedule management, and organizing internal workflows.
* Perform adhoc tasks as needed
Skills and Qualifications
* Minimum 2 years' experience in apparel/homeware production support, e-commerce administration, or customer service.
* Strong organizational and multitasking skills with the ability to manage multiple categories and deadlines.
* Excellent written and verbal communication skills, including communicating with international suppliers.
* High proficiency in Microsoft Office or Google Workspace, especially Excel/Sheets.
* Strong attention to detail and accuracy in data entry, documentation, and communication .
Preferred
* Experience with e-commerce platforms such as Shopify or WooCommerce.
* Understanding of production timelines, garment construction, or homeware manufacturing.
* Knowledge of retail operations or inventory management.
