The Role
Join a small, high‑impact Centre Management team as Office Manager based in an iconic tourist destination. You will be the primary administrative and financial lead for the asset, supporting the Centre Manager, Facilities Manager and Marketing Manager to deliver a safe, efficient and welcoming retail environment that drives tenant profitability and attracts families, tourists and locals.
Key responsibilities
- Tenant accounts & arrears management: prepare and reconcile tenant billings, recoveries and cost allocations; monitor budgets and report variances; follow up on outstanding payments and escalate unresolved disputes to the Centre Manager.
- Creditors & financial administration: code creditor invoices; prepare month end journals; reconcile direct tenant expenses and submit invoices for approval.
- Reporting: prepare monthly financial and management reports, KPI dashboards to inform management decisions; contribute to quarterly reports and ad‑hoc business or strategy documents for the Centre Manager and Client.
- Record keeping & compliance: maintain accurate tenant and contractor records, insurance registers, bank guarantee register and diary notes; ensure audit trails and email archiving are current.
- Client service & stakeholder liaison: act as a first point of contact for retail tenants on operational and billing queries; coordinate tenant onboarding and lease administration tasks.
- Operational coordination: assist the Facilities Manager with contractor engagement, quotations, inductions and work orders; notify retailers of works that may affect trade and help minimise disruption.
- Marketing support & activations: assist the Marketing Manager with budget tracking and support property activations, events and community initiatives that drive property footfall.
- Risk & safety support: assist with emergency training requirements and maintain vigilance for customer and tenant safety, reporting hazards promptly.
Required attributes
- Strong attention to detail with proven accuracy in financial record keeping and reconciliations.
- Financial capability: experience with invoicing, reconciliations, basic accounting journals and month end processes.
- Experience in a small team environment: comfortable with a hands‑on role, flexible priorities and close collaboration.
- Exposure to property management or retail operations: familiarity with lease administration, tenant liaison or facilities coordination.
- Excellent communication: clear, professional written and verbal skills for tenant and stakeholder interactions.
- Organisational skills: ability to prioritise tasks, manage diary notes and meet monthly deadlines.
- IT proficiency: competent in Excel and quick to learn property/accounting systems (Cirrus8 experience advantageous).
- Right to work in the country where the role is based.
- Australian work rights: current Australian work rights are essential for this position.
Desirable attributes
- Tertiary qualification or formal training in accounting, finance or property.
- Customer focused mindset with experience supporting retail tenants to improve trading outcomes.
- Property Management systems experience: proficiency in either MRI or Cirrus8 property management systems is desired.
- Local tourism knowledge and an understanding of visitor behaviours in a high profile destination.
