Job Description:
The Personal Assistant will work under the supervision of the Office Manager and provide high-level administrative and secretarial support to ensure smooth business operations. This role is critical to managing communications, schedules, documentation, and compliance-related reporting for management staff. The position also supports the preparation of documentation required by education regulators such as ASQA and CRICOS.
Duties and Responsibilities:
* Organise and manage daily schedules, meetings, appointments, and travel arrangements for management staff
* Prepare and coordinate business correspondence, reports, emails, and internal communications
* Maintain filing systems, both electronic and physical, to ensure efficient document access and record-keeping
* Screen incoming calls, emails, and requests, and handle or redirect them as appropriate
* Liaise with internal departments and external stakeholders on behalf of the Office Manager
* Prepare documentation and support materials for audits, renewals, and reports required by ASQA, CRICOS, and other educational regulatory bodies
* Assist in maintaining compliance records related to course delivery, student records, and operational standards
* Monitor office supplies and assist in general administration and procurement tasks
* Prepare meeting agendas, take minutes, and follow up on action items
* Support the Office Manager in general office operations and workflow coordination
* Assist with event planning and administrative tasks for internal audits and external reviews
Skills and Qualifications:
* Certificate IV in Business Administration or related qualification
* Minimum of 2 years' experience in a personal assistant, executive assistant, or office administration role
* Familiarity with ASQA, CRICOS, or other education regulatory frameworks is highly desirable
* Excellent written and verbal communication skills
* Strong time management and multitasking ability with attention to detail
* High proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
* Ability to handle sensitive information and maintain confidentiality
* Professional presentation and interpersonal skills
* Proven ability to work independently and as part of a collaborative team
