Operations & Finance Coordinator
Castle Carpentry & Cladding — Frankston / Braeside
Castle is growing fast and we're looking for someone who can step straight into the engine room of the business — supporting our project managers, estimators, coordinators and finance team with precision, structure and accountability.
We need a detail-driven, organised, tech-savvy person who loves building order, tightening processes, and keeping projects financially on track.
About the Role
You'll take ownership of the daily operational, administrative and financial backbone of the company, including:
Project & Operations Support
* Coordinate Buildertrend data entry across budgets, POs, variations, timecards and forecasts
* Work closely with PMs and coordinators to keep job costing accurate
* Assist with scheduling, procurement tracking and workflow organisation
* Support forecasting and reporting across all active Castle projects
* Help build and maintain internal systems that ensure jobs run on time and on budget
Finance & Admin
* Payroll processing for ~30 staff through Xero
* Accounts payable and receivable management
* Supplier invoice matching, coding and weekly payment runs
* Assist with month-end financials and cash-flow reporting
* Maintain tight record-keeping and compliance documentation
Day-to-Day Admin Tasks
* Handle incoming calls, emails and general office enquiries
* Organise digital files, job folders and site paperwork
* Prepare subcontractor packs, compliance forms and safety documentation
* Update internal spreadsheets, registers and dashboards
* Track deliveries, back-orders and supplier communication
and subcontractor onboarding paperwork
* Manage petty cash, fuel receipts and basic office coordination
* Support the director and PMs with ad-hoc admin tasks
About You
* Extremely detail-oriented — accuracy is critical
* Confident with software (Buildertrend, Xero, spreadsheets)
* Organised and proactive — always one step ahead
* Comfortable in a fast-moving construction environment
* Strong communicator across factory, site and office
* Experience in construction admin, finance, or operations is preferred
* Motivated to grow within the company
