Primary objective
Deliver efficient and effective travel management services for staff across the Director of Public Prosecutions (DPP), as well as organising travel
arrangements for witnesses, interpreters, and staff and clients external to the agency, in accordance with the NTG Travel Policy and Procurement
Framework and the application of 'best value for money' principles.
Context statement
The Travel Manager is the first point of contact for all travel arrangement needs and related queries, including being on call after business hours.
Key duties and responsibilities
1. Develop and maintain effective relationships with managers and staff across the agency to ensure the delivery of high quality, customer-
focused travel arrangements.
2. Collaborate with the Witness Assistance Officer and the NTG's Interpreter Service to organise and arrange travel and accommodation for
victims, witnesses, and interpreters.
3. Organising and booking travel for DPP's regional staff, including coordinating the booking of visiting officers' quarters and managing ledger
transfers and invoice payments.
4. Providing accurate advice and support to employees and managers regarding travel, travel allowance payments including booking flights,
charters, and accommodation and ensuring all travel requests are completed with the necessary documentation and approvals in place.
5. Calculate, prepare, review, and process travel-related allowances and expenses, including entitlements for staff and witnesses, acquittal of
travel payments, timely processing of monthly invoices, and resolution of anomalies through data collection and direct inquiries to support
informed decision-making.
6. Manage relocations for new recruits or intrastate staff transfers including liaising with recruits and managers to inform them of entitlements.

7. Maintain records in Territory Records Management (TRM) including being responsible for the creation, storage, retrieval and archiving of files.
8. Using various NTG and third-party systems (e.g., ECMS, NTG Pay, TRIPs, Expense8, CTM) and to manage travel activities in accordance with
corporate policies, including credit card reconciliations, liaising with staff and corporate travel providers, interpreting travel data for audits,
providing TRIPs guidance, and training and generating travel-related reports for management.
9. Assist the Manager Business Support with the development of training materials the delivery of training or training presentations to DPP
managers and staff; undertake tasks to assist with the workload of the unit; and contribute to the development, maintenance and review of
administrative processes, systems and procedures to improve office efficiency and ensure the delivery of high-quality business support
services.
Selection criteria
Essential
1. Demonstrated understanding of the importance of quality customer service, with a particularly focus on objectivity, impartiality, and fairness
when engaging with staff, stakeholders, or clients.
2. Extensive proven knowledge and experience in the travel industry (public or private sector) and knowledge of NTG travel booking and approval
procedures, official travel policies, and travel allowance payment processes or similar.
3. Familiarity with cab charge procedures, procurement policies, procedures, and guidelines relevant to the travel sector.
4. Solid understanding of information and records management practices, processes, and procedures, preferably gained in a NTPS or similar
public sector environment.
5. Demonstrated working knowledge and experience in using databases, spreadsheets, and commonly used office software (e.g., Outlook, Word,
SharePoint, Excel), with an aptitude for corporate management tools and mainframe databases such as TRIPS, Expense8, and CTM Booking
Tool or similar.
6. Extensive knowledge of the Public Sector Employment and Management Act, its subordinate legislation, and relevant Enterprise Agreements
and Awards in the NTPS, or the ability to quickly acquire.
7. Highly developed understanding of air charter logistics and the geography of NT's regional and remote locations, or the ability to rapidly
acquire this knowledge.
Desirable
1. Knowledge and understanding of the role and responsibilities of the Director of Public Prosecutions, or the ability to quickly acquire this.
