Opportunity
We're growing, and we're looking for an experienced Spare Parts Sales Coordinator to take ownership of managing customer enquiries, quotations, and sales orders for spare parts, ensuring accurate information, timely supply, and seamless communication across customers, warehouse, procurement, and field service teams.
This is a hands‑on, fast‑paced role suited to someone who thrives on problem‑solving, technical detail, and building strong internal and external relationships.
What you'll be doing
Customer Support & Enquiries
* Be a primary contact for all spare parts enquiries and provide accurate lead times, pricing, and availability.
* Follow up on quotes and keep backorders up to date.
* Build strong relationships with customers, technicians, and suppliers.
* Support after‑hours enquiries on a rotating roster.
Technical & Parts Identification
* Identify, quote, and process parts orders in the ERP system.
* Interpret parts manuals, drawings, and technical documents.
* Assist with catalogue updates and product data accuracy.
* Source non‑genuine parts when required.
Operations & Logistics
* Work with warehouse and procurement to confirm availability and order status.
* Coordinate freight, shipping documents, and proof of delivery.
* Monitor inventory, aged stock, and demand forecasts and support stock control and manage slow‑moving or obsolete items.
* Oversee production jobs, ensuring efficient workflow and operational accuracy by opening, monitoring, managing, and closing these tasks.
Systems, Quality & Improvement
* Maintain accurate data in ERP and CRM systems.
* Contribute to process improvements and provide feedback on recurring issues.
What you'll bring
* 2–3+ years in spare parts coordination or internal sales, ideally within heavy equipment, mining, or industrial sectors
* Strong background in processing purchase and sales orders.
* Confident using ERP systems (MS Dynamics 365, SAP, Pronto or similar).
* Understanding of logistics and procurement processes, particularly in mining or remote environments.
* Strong technical aptitude, including mechanical and hydraulic understanding
* Excellent communication and customer service skills with a proactive, solutions‑focused approach.
* Self-driven and results orientated with a high attention to detail and strong organisational skills.
* Able to interpret technical documents, parts manuals, and engineering drawings.
* Collaborative team player, results‑focused, and comfortable in a fast‑paced environment
* Proficient in MS Office applications (Word, Excel, Outlook, etc.).
* Flexibility to be part of the after-hours spare parts sales roster.
The successful candidate must have full working rights in Australia, be able to pass a pre-employment medical, and obtain a National Police Clearance before commencement.
