Conference & Events Coordinator – Accor

Location: Surfers Paradise, Queensland, Australia

Novotel Surfers Paradise is located in the heart of Surfers Paradise, featuring 408 rooms, dining options including The Restaurant, Blvd Cafe & Bar, pool bar, and in‐room dining. The hotel offers a relaxed, family‐friendly atmosphere with a heated outdoor swimming pool & spa, tennis courts, gym, and six modern function rooms that can accommodate up to 500 delegates.

Role Overview

Reporting to the Director of Sales and Marketing, you will support the sales team and ensure the efficient organisation and coordination of on‐site conferences and events from booking through to delivery, helping the team achieve sales targets in line with the annual Sales budget.

Responsibilities
* Meet the needs of secured conference business from event order compilation to after‐function follow‐up. Actively listen to clients to understand their needs.
* Assist the sales team with account management from initial client inquiry, negotiating, contract proposals and upselling.
* Prepare proposals, invoices, event orders and administrative tasks to ensure timely execution of all planned events.
* Manage time effectively to meet weekly deadlines.
* Communicate with various departments to ensure the event is executed effectively.
* Execute all services for bookings in line with budgets, incentives, and objectives.
* Negotiate with third‐party vendors to achieve favourable terms.
* Coordinate event planning and liaise between relevant departments, handling dietary requests and updating numbers; resolve problems quickly.
* Meet clients on the day of their event.
* Evaluate special event success and submit reports to the Director of Sales and Marketing.
* Assist the sales team in hosting site inspections and trade shows when required.
Qualifications
* Passion and pride to create EPIC experiences.
* Previous experience in a similar role – events/banquets operations in a 200+ room hotel or resort environment preferred.
* High level of attention to detail and proficiency in all Microsoft Office programs.
* Excellent written and oral communication skills.
* Knowledge of the MICE industry on the Gold Coast.
* Friendly approach that builds rapport with clients, guests, and colleagues.
* Confidence to follow up and ensure client expectations have been achieved from event inception to delivery and share feedback with the team.
* High standard of personal presentation.
* Knowledge of Opera Cloud, Delphi FDC & Micros Symphony is desirable.
* Current RSA certificate or willingness to obtain one.
