Casual Law Clerk/Junior Office Administrator (2 – 3 days a week) – immediate start

The role of the Casual Law Clerk/ Junior Office Administrator is to provide support to an experienced team of solicitors and the principal whilst reporting directly to the Practice Manager. You will be expected to work both as part of a team and autonomously in a fast-paced environment, with extensive file exposure and opportunities for professional development and mentoring. We are a team who strongly believes in handling our clients' claims with empathy and a willingness to think creatively. This role requires a high level of interpersonal sensitivity, due to assisting clients with a wide range of criminal matters. This will be a busy and exciting opportunity for a high performing individual seeking to kick-start their career. The successful candidate will possess excellent legal research skills, strong attention to detail and effective communications skills for assisting with the management of a large number of clients and a commitment to social justice.


Responsibilities and Duties


Covering of reception which includes:

* Greet clients and visitors to the office in a professional and friendly manner
* Ensure beverages are offered to all guests and clients who attend the office for meetings
* Manage the switchboard calls
* Ensure the reception area is kept tidy and well presented
* Process email and couriers as required
* Typing and dictation as allocated by the Practice Manager including file notes and simple correspondence
* Responsible for all file opening and data-entry including:

* Generating the physical file including the cover and sections of the file

* Ensuring the AA information sheet is included in the client/matter cards
* Inputting relevant billing data
* Obtaining the Legal Director's approval to open files
* Responsible for sending out receipts
* Saving solicitor outgoing emails as required
* Responsible for referral source collation data including making enquires with solicitors and clients in relation to referral source data
* Other duties as requested by the Practice Manager

Law clerk work such as:

* Assist solicitors with the day-to-day operations of files/client management and handling matters
* Prepare matters for conference and hearing including preparation of briefs, court documents, audio/transcripts, search and copy requests, other legal documents and general correspondence
* Filing documents in Court and arranging service of documents
* Correspond, brief and liaise with counsel, medical practitioners and other experts
* Develop and maintain strong working relationships both internally and external to the organisation
* Manage files including scanning documents into the Practice Management system
* Filing, archiving, including return of material if required and maintaining newspaper/article database
* Diary management and committal call over lists
* Daily run which includes filing court documents
* Reception relief
* Ensuring general tidiness and maintaining cleanliness of kitchen and other common areas
* Other duties as requested by the Practice Manager

Work Experience and Skills

* Law studies currently underway (1st or 2nd year law students)
* Excellent verbal and written communication skills
* Strong organisational skills with excellent attention to detail
* High level of computer literacy and competency in legal research databases
* Ability to deal with sensitive matters with discretion (confidentially and tactfully where appropriate)
* Self-possessed and able to deal with competing priorities in a calm manner
* Work well under pressure and self-directed as needed
* Ability to prioritise and organize workflow independently
* Proven ability to work as part of a strong team
