Overview
We are seeking a highly organised and detail-oriented Project Administrator / Contracts Administrator to support the delivery of double glazed window supply and installation projects. This role is responsible for coordinating project documentation, managing contracts, assisting with procurement, and ensuring smooth communication between internal teams, suppliers, and clients.
The successful candidate will play a key role in ensuring projects are delivered on time, within budget, and in accordance with contractual requirements and company quality standards.
Key Responsibilities
* Project Administration
o Provide administrative support to the Project Manager and installation teams throughout the project lifecycle.
o Coordinate project documentation including drawings, specifications, variations, and installation schedules.
o Track project milestones, deadlines, and deliverables.
o Maintain organised project files and records.
* Contract Administration
o Assist in preparing, reviewing, and managing contracts, subcontract agreements, and purchase orders.
o Monitor contract compliance and ensure all contractual obligations are met.
o Manage variations, extensions of time, and change orders.
o Assist with claims, progress claims, and payment schedules.
* Procurement & Supplier Coordination
o Coordinate ordering of double glazed windows, frames, hardware, and related materials.
o Liaise with suppliers and manufacturers to confirm specifications, delivery schedules, and quantities.
o Track deliveries and ensure materials arrive on site as required.
* Installation Coordination
o Work with installation teams to schedule works and manage site logistics.
o Coordinate site access, permits, and safety documentation where required.
o Assist in resolving site issues related to product supply, measurements, or installation.
* Financial & Reporting Support
o Assist with project cost tracking and budget monitoring.
o Prepare progress reports and documentation for project managers.
o Support invoicing, progress claims, and subcontractor payments.
* Client & Stakeholder Communication
o Act as a point of contact for clients, suppliers, and subcontractors.
o Provide updates on project progress, schedules, and deliveries.
o Maintain professional relationships with all stakeholders.
Required Skills & Experience
* Previous experience as a Project Administrator, Contracts Administrator, or Project Coordinator in construction or building supply.
* Experience with window, glazing, façade, or aluminium systems is highly desirable.
* Understanding of construction contracts and project documentation.
* Strong organisational and time management skills.
* Excellent communication and stakeholder coordination abilities.
* High attention to detail and problem-solving capability.
* Proficiency in Microsoft Office (Excel, Word, Outlook) and project management software.
Desirable Qualifications
* Experience working with double glazed window systems, aluminium frames, or façade installation.
* Knowledge of building plans, shop drawings, and specifications.
