The Client

Based in Ballina this Australian-owned agribusiness specialises in the growing, processing, and global distribution of premium food products. With strong ties to local growers and a focus on quality from orchard to customer, the business manages production, grading, packaging, and export operations onsite. Serving both domestic and international markets, it is recognised for reliable supply, strict quality assurance standards, and efficient logistics coordination. The company operates in a fast-paced, export-driven environment, supporting food manufacturers, wholesalers, and retailers worldwide. Its commitment to innovation, food safety, and customer service underpins its reputation as a trusted supplier in the competitive macadamia industry

About the Role

As a key member of the team working alongside the Sales Manager, you will play a pivotal role in ensuring seamless order processing, accurate documentation, and efficient shipping operations while supporting sales and finance functions.

Key Responsibilities

* Enter sales contracts and marketing orders into the internal inventory system
* Prepare and transfer shipping forecasts into the shipping register to support effective cash flow management
* Securely record and organise documentation, including obtaining signed contracts from the Sales Manager
* Update sales contracts with variations (including promise dates) to ensure accurate financial tracking
* Convert MYOB sales orders to invoices upon dispatch and email documentation to customers
* Manage export documentation including invoicing, dispatch logistics, AQIS, and bank documentation
* Liaise with freight forwarders regarding shipping costs and maintain AQIS relationships
* Maintain and update the customer database in MYOB for synchronisation with our client's internal sales system
* Provide administrative and data entry support to the Sales team
* Assist Finance with debtor monitoring and cash flow planning
* Maintain accurate and confidential filing systems and document control processes
* Adhere to quality system procedures and work instructions
* Undertake additional duties as required by the Warehouse Coordinator, Operations Manager, or General Manager

Required Skills & Experience

* 3+ years in an administration (preferably sales or shipping based) role
* Exceptional attention to detail and high level of data accuracy
* Intermediate (or higher) proficiency in Excel and Microsoft Office
* Previous experience with MYOB or similar accounting packages
* Strong time management skills and ability to meet deadlines
* Excellent verbal communication skills
* Ability to respond promptly to sales enquiries
* Ownership mentality with a continuous improvement mindset
* Professional presentation and demeanour
* Current driver's licence and full working rights in Australia

Nice to Have

* Exposure to warehousing in a food or produce environment (advantageous)
* Experience in logistics and freight coordination
* Familiarity with AQIS procedures
* Experience with inventory and financial management systems such as MYOB
* Forklift license (not essential)

Preferred Background

* Administrative or logistics qualification/background
* Previous experience in a warehouse or food production environment
* Demonstrated success in a similar sales support or administrative role
