Business Operations Specialist

We are seeking a Business Operations Specialist to support our Australian IT organisation based in Melbourne or Brisbane. This role will play a critical part in supporting the execution of our strategy, operations, governance, risk, compliance, and financial processes across the region.

This is an exciting opportunity for an experienced Business Operations professional with strong analytical, problem-solving, and communication skills to join our team. You will work closely with cross-functional teams, including product managers and business partners to gather relevant information and ensure effective communication.


Key Responsibilities

1. Reporting: Prepare regular business performance updates for leadership and stakeholders Maintain comprehensive reports, executive scorecards, and dashboards to track key results and performance indicators to provide insights to stakeholders and drive decision making Act as a liaison between IT divisions and ensure clear and consistent communication regarding organisational updates, achievements, and strategies realisation Continuously monitor and evaluate performance metrics and ensure that Objectives and Key Results are updated for monthly business performance reporting
2. Governance & Compliance: Represent organisation on compliance and compliance-related activities Monitor and liaise with team where remediation activities are required Work with and support the IT Compliance Teams with internal and external Audit coordination
3. Finance: Assist in budgeting, forecasting, and financial planning processes Workforce coordination and keep a track record of all resource requests and collaborate with various teams throughout the approval process (LT, HR, Finance) Collaborate with IT, finance, supply chain, and HR to support cross-functional collaboration
4. Communication: Ensure that communication flows smoothly across teams Facilitate weekly regional leadership meetings and regular employee briefings, including general management of the meeting, agenda, and content preparation, notes dissemination Collaborate with cross-functional teams, including product managers and business partners to gather relevant information and ensure effective communication In conjunction with product managers, support preparation of presentations to stakeholders on strategic initiatives progress and business cases development Represents the Australia IT organisation in various global forums (BusOps, Employee Engagement forum) to ensure alignment and collaboration on operational activities Some out-of-hours work is required to collaborate with teams in global locations

The ideal candidate will have experience in an IT services or technology-driven environment and thrive in a fast-paced role that blends business strategic support with data analysis, project coordination, and reporting. You will be comfortable with data tools and systems and proficient in data analytics tools (e.g., Tableau, Power BI) to analyse data and generate insights.


Requirements

* 5+ years of experience in Information Technology performing in a change management, program/project management, or business operations 5+ years demonstrating acumen in operations, risk management, financial management 5+ years of experience collecting, interpreting data, and managing high-level projects for executives or senior leadership 5+ years of experience successfully managing multiple high-volume, complex, concurrent projects Excellent analytical, problem-solving, and communication skills, with the ability to present complex information clearly to diverse audiences and all levels of management Attention to detail, with a focus on outcomes Comfortable with data, tools, and systems Proficiency in data analytics tools (e.g., Tableau, Power BI) to analyse data and generate insights Bachelor's degree in Information Technology, Computer Science, Business Administration, or a related field or equivalent experience; a Master's degree is a plus Project Management Profession (PMP Certification)
