Client Experience Coordinator / Administration Assistant

Shepherd Homes is offering this part‑time, flexible role. It is perfect for a parent returning to work who thrives on communication, relationship building, and processes.

We're now looking for a Client Experience Coordinator / Administration Assistant to support current and future clients, team, and design partners — ensuring every communication with Shepherd Homes is warm, clear, consistent and professional.

Your Responsibilities

* Communicating with clients via email, phone, and text
* Sending timely project updates
* Managing client journey touchpoints — including prospective client nurturing
* Detailed note‑taking and maintaining accurate client records
* Preparing and polishing documents, templates, and client materials
* Assisting with general administration
* Coordinating with architects, building designers, and allied professionals
* Collaborating seamlessly with our virtual assistant team
* Contributing to our collaborative, personal, and deliberate client experience


What You Bring

Experience requirements are flexible — we're more interested in the right person than a specific CV. Be yourself, and let your personality shine through.


Required Skills & Qualities

* Warm, patient, and empathetic communication
* Strong writing skills and clarity in messaging
* A relationship‑nurturing mindset
* High attention to detail
* Organised, proactive and reliable
* Comfortable speaking with clients and forming rapport
* Willingness to learn and embrace our building‑science and high‑performance approach
* Problem‑solving ability and initiative


Preferred (but not essential)

* Experience in administration
* Experience in construction administration
* Familiarity with: Trello, Slack, Google Workspace, Xero
