The Executive Assistant has responsibility for providing comprehensive administrative support to a Deputy Secretary. You will be responsible for the delivery of timely, efficient, and effective high-level administration and executive support. You will manage front-of-office functions in a complex and high-volume environment, including managing diaries, workflow, appointments and correspondence, organising events, coordinating travel and collating documentation.
The key duties of the position include
Under limited supervision and direction, the Executive Assistant provides a high level of administrative and executive support to the Deputy Secretary, which includes but not limited to:
- High level administrative and executive support to the Deputy Secretary, including managing document workflow (inbox management, OneNote and hard copy), coordinating information, arranging meetings, booking travel, diary management, reconciling credit card statements and screening telephone calls.
- Anticipate requirements for, and initiate the timely preparation of, briefing material prior to meetings attended by the Deputy Secretary.
- Work cooperatively with other executive support staff in the Senior Executive team.
- Work collaboratively with First Assistant Secretaries and their Executive Assistants to ensure priority matters are actioned appropriately.
- In conjunction with the Executive Officer, coordinate Senate Estimates briefings across the Group and prepare the Deputy Secretary briefing pack.
- Work with Ministers' offices as needed to schedule high level discussions.
- Promote a cooperative culture across the department's Executive Assistant cohort, including engaging in formal and informal mentoring opportunities with junior Executive Assistants.
- Other duties as required and demonstrating capability in line with the department's Capability Development Framework and Work Level Standards at the APS6 level.
- Promote workplace practices consistent with departmental policy and in accordance with the APS Values, Code of Conduct and Behaviours in Action.
