About the Role
This is primarily an operations and admin coordination role, with some light EA support to the Director.
You’ll act as the central point between customers, the warehouse, and internal systems, ensuring quotes, orders, and deliveries are accurate, scheduled correctly, and communicated clearly.
Success in this role looks like:
* Jobs flowing smoothly from quote → order → delivery
* Clear communication between all parties
* Minimal errors, delays, or follow-ups needed
* Becoming the go-to person who keeps operations on track
Key Responsibilities
Quotes & Order Processing
* Prepare and issue accurate quotes
* Convert quotes to orders and maintain records
* Ensure alignment across systems and production
* Resolve missing information or discrepancies
Delivery Coordination
* Schedule and coordinate deliveries
* Communicate timelines with customers and internal teams
* Liaise with warehouse on job readiness
* Monitor and follow up to keep deliveries on track
Administration & Systems
* Manage inbox and general admin tasks
* Maintain accurate data entry and organised records
* Follow and improve systems and processes
Stock & Documentation
* Process stock receivals and documentation
* Ensure alignment with dockets and system records
* Report discrepancies and assist with follow-ups
Director Support
* Assist with emails, scheduling, and coordination
* Follow up tasks and support daily operations
Skills & Experience
* Previous experience in an admin, coordination, or operations role
* Strong organisational skills and high attention to detail
* Ability to manage multiple tasks and meet deadlines
* Confident communication with customers and internal teams
* Experience with Excel and admin/job management systems
* Experience in logistics or delivery scheduling highly regarded
* Construction or building industry experience a bonus (not essential)
* Proactive, reliable, and able to take ownership
