Office of the Director General
supports executive functions of the Department and provides professional and strategic management support to the Director General and senior executives
provides strategic advice on procedural and administrative matters that support the Director General's transactional responsibilities
coordinates the preparation of the Director General's correspondence and briefings
provides advice, support and training on issues and processes as they relate to the functions of the Office of the Director General
is a conduit between Ministers' Offices and the Director General.
We provide coordination, support, and management of significant internal and external meetings, including the preparation of agendas, briefing papers, minutes, and other associated papers for the Director General.
We also provide executive support to manage the Director General's day-to-day movements and commitments.
The Role
We are seeking an experienced Executive Support Officer to join us within the Office of the Director General.
The successful applicant will draw upon skills and experience in providing contemporary administrative support to senior management with the ability to deal with sensitive, confidential information with tact and discretion.
This role will require you to work both independently and as part of a team to coordinate and manage multiple tasks often in time critical situations.
An essential function of the role is coordinating a range of correspondence, briefings and information across the agency which includes using workflow processes to allocate, track and manage the progression of tasks.
This will require the ability to use initiative and make decisions about required actions in respect of information received by the Director General's office and allocate responsibility for this work across divisions and directorates of the agency.
To succeed in this role you must:
possess strong organisational skills and be able to manage competing priorities;
have strong written skills with an attention to detail;
be a team player with excellent relationship management skills;
be able to communicate effectively with a range of officers across the Department, including senior personnel, the Minister's offices, other agencies; and
use technology efficiently and effectively and have the ability to adapt to changing technology.
