About the Role
We are seeking a Marketing and Submissions Coordinator to lead the preparation of high-quality fee proposals and tender responses across a diverse portfolio of work spanning housing, commercial, public, education and hospitality sectors.
You'll work closely with our National Operations Manager and wider team to coordinate input, format and refine documentation, and ensure submissions are produced professionally, on time, and to a consistently high standard.
This role requires strong organisational and interpersonal abilities, excellent attention to detail, strong design skills and refined writing capability. Essential is a positive attitude and a willingness to learn.
Key Responsibilities
* Lead and coordinate the end-to-end preparation of fee proposals, tender responses and EOIs
* Review tender documents and extract key criteria to ensure compliant, well-structured responses
* Coordinate timely input from Management and senior staff
* Manage timelines to meet strict deadlines
* Write and tailor clear, persuasive responses, editing and refining technical content provided by others
* Design and format submission documents in Adobe InDesign in line with the brand style guide, ensuring strong and consistent visual layout and translation of information
* Collaborate with the team to source and align project information, CV's and supporting material
* Manage submission lodgment via portals, procurement platforms and email
* Ensure submissions are compliant with requirements, deadlines and formatting rules
* Contribute to continuous improvement of our internal submission systems, processes and templates
* Coordinate high quality information from internal team members and external consultants for use in both bids and social media
* Marketing and social media engagement
* General administrative and process improvement tasks as required
About You
* Demonstrated experience in bid writing, tender coordination, submissions, proposals, or professional writing
* Confidence managing multiple deadlines and coordinating input from senior staff members and wider consultant teams
* The ability to interpret briefs and align responses to client priorities
* Excellent attention to detail and organisational skills (formatting, consistency, proofreading)
* Ability to juggle multiple tasks and meet deadlines calmly and reliably
* Experience or strong interest in graphic design and marketing
* Proficiency or willingness to learn Adobe InDesign, PowerPoint, and WordPress
* Knowledge of Asana, Total Synergy or similar
* Strong organisational skills with excellent attention to detail
* Creative eye and good sense of design layout
* Reliable, proactive, and able to work independently
* Excellent written and verbal communication skills
* Experience in engineering, architecture, design or construction industry submissions
* Relevant degree in Marketing, Business, Graphic Design or Communications preferred but not essential
* Must be available to work from the office (this is not a work-from-home position)
