Make a Difference for Australian Veterans and Their Families

Advocates Online are a specialist advocacy organisation supporting current and former Australian Defence Force (ADF) members and their families. Our work centres on guiding veterans through the Department of Veterans’ Affairs (DVA) system, helping them access the compensation, treatment, and entitlements they are legally entitled to under Commonwealth legislation.

We are seeking a highly organised and proactive Administration Assistant to support our Client Services & Operations team in a fast-paced, client-focused environment.

About the Role

You will play a key role in client onboarding, contracts administration, and maintaining accurate systems and records, while delivering a high level of support to both clients and internal teams.

Working closely with both clients and internal teams, you will provide high-quality administrative and coordination support, ensuring all information is up to date, compliant, and easily accessible. Your attention to detail and proactive approach will contribute to streamlined processes and strong client relationships.

Key Responsibilities
* Manage client onboarding, ensuring documentation is accurate and completed on time

* Coordinate contracts, including drafting, approvals, and record management

* Maintain accurate client data across systems (including SharePoint and Pipedrive)

* Provide administrative support to the Operations Manager and team

* Manage shared inboxes and respond to client enquiries

* Record client interactions and track case progress and outstanding actions

* Liaise with internal teams and external stakeholders

About You
* Strong administrative experience and attention to detail

* Excellent organisation and time management skills

* Professional communication and client service skills

* Ability to manage multiple priorities in a fast-paced environment

* Experience with CRM systems and Microsoft Office (desirable)
