Primary objective
To provide executive level secretarial and administrative support the Chief Executive Officer (CEO) and the Executive Management Group
(EMG) of the Aboriginal Areas Protection Authority (AAPA).
Context statement
The Aboriginal Areas Protection Authority is an independent statutory Authority established by the NTASSA, designed to affect a practical
balance between the recognised need to preserve and enhance Aboriginal cultural tradition in relation to certain land in the Territory and
the aspirations of Aboriginal and all other peoples of the Territory for their economic, cultural and social advancement by providing advice
on the protection of sacred sites in the context of development.
Key duties and responsibilities
1. Record, monitor and follow up the movement of correspondence, especially ministerial documents to ensure timely and accurate
processing.
2. Be the first point of contact for the CEO's office and provide appropriate information and referrals. As well as manage general
administrative duties for the CEO including Tower Records Information Management (TRIM), telephone screening and preparation of
materials for meetings.
3. Ensure a confidential professional and efficient approach to the management of services to the CEO and EMG including the provision
of secretarial and administrative support (such as drafting and processing correspondence, ministerial briefings, cabinet documentation,
project research, scheduling appointments and meetings)
4. Assist in the organisation of AAPA Board meetings, record and transcribe Minutes, assist in the preparation of agendas, presentations
and tabling of documentation to Board members and senior staff. Also attend board meeting at various locations, while providing
support to attendees, and assist with follow-up of actions and information to staff.
5. Co-ordinate staff meetings, record and transcribe minutes, assist in preparation of agendas.
6. Support the AAPA Secretariat team in processing Cabinet and ministerial requests, maintaining the Secretariat work-tracking
spreadsheet and ensuring that the team is kept up to date with ongoing work and deadlines.
Selection criteria
Essential
1. Demonstrated interpersonal, written and oral communication skills, with the ability to communicate effectively in a cross-cultural
environment and proven organisational and time management skills with the ability to set priorities, work under pressure and meet
deadlines.
2. Proven ability to operate independently and as a team member, and exercise judgement without supervision while delivering a high
degree of personal integrity and commitment to maintaining confidentiality and discretion to internal and external stakeholders.
3. Proficient in the use of computer and records management applications and demonstrated ability in the use of other computer
programs including databases to produce reports, correspondence and presentations.
4. A sound understanding of complex administrative protocols and procedures, including the standard formatting of correspondence, or
the ability to obtain the knowledge promptly.
5. Demonstrated understanding of the application of Records Management principles
Desirable
1. Current drivers licence or the ability to obtain one.
