You are enthusiastic about going the extra mile, testing yourself and seeing what is possible.About the OpportunityReporting directly to the Executive Business Manager and working closely with the Managing Director, you’ll be the operational backbone of the executive office required to work full time on site. Your day-to-day will include:Managing executive travel arrangements and related bookings.Assist with managing emails, executive calendars (scheduling, meetings, prompt correspondence and documentation).Meticulous and timely maintenance of the executive filing system.Maintenance of the executive office, ensuring impeccable presentation and organisation.Acting as the first point of contact for executives, handling inquiries and requests, and ensuring smooth communication across the business.Prepare and edit correspondence, communications, presentations and other documents on behalf of the executive team.Coordinate and attend internal and external meetings by preparing materials, booking venues, coordinating necessary equipment, taking and distributing minutes, and following up on action items.Assisting with event planning and execution as needed.Assisting with executive errands including coordinating purchases and managing invoice payments.Assisting with administration and management of office functions as required, particularly in busy periods and when office managers are on leave.About YouMinimum 5 years’ experience in a similar role and/or working in partnership with senior executives, particularly in a privately owned business.Excellent oral and written communication skills.Strong stakeholder engagement skills, including the ability to support colleagues with management of competing priorities.Motivated and organised approach to workload, drawing on a strong work ethic and service-based mentality.Curious by nature, resilient and proactive approach to problem solving, with the ability to be creative and think outside the square.Ability to be adaptable to working styles and situations.Excellent technical capability (predominantly Microsoft & web-based application).Experience in property related industries highly valued.On OfferWe are offering a challenging, rewarding, and inspiring opportunity.
