Position: Office Manager

Employment Type: Full-time (flexible arrangements may be considered)

Reports To: General Manager

The Office Manager is a key operational role responsible for coordinating office administration, financial processes, and support services across the business. This position ensures efficient office systems, accurate accounts administration, compliant payroll processing, and smooth day-to-day business operations to support civil construction, quarrying, transport, and plant hire activities. The role works closely with management, supervisors, and external advisors to maintain organised systems, reliable reporting, and strong administrative support for operational teams.

Key Responsibilities

* Office Operations & Administration
* Manage daily office operations and administrative functions
* Oversee office systems, procedures, and document control
* Maintain filing, compliance records, and company documentation
* Coordinate insurance policies including plant, vehicles, public liability, and workers compensation
* Manage supplier accounts, service contracts, and office purchasing
* Provide administrative support to management and project teams
* Accounts Administration
* Manage accounts payable and accounts receivable processes
* Create and process batch payments
* Raise invoices, progress claims, and statements
* Monitor debtor balances and follow up outstanding payments
* Allocate payments and perform bank reconciliations
* Assist with job cost allocation and project tracking
* Maintain accurate financial records for external accountants
* Payroll & Compliance
* Process weekly payroll including timesheets, awards, EBAs, and site allowances
* Superannuation and PAYG
* Maintain employee records and onboarding documentation
* Ensure compliance with Fair Work, taxation, and superannuation obligations
* Prepare and submit BAS, IAS, and other reporting as required
* Operational Support
* Assist supervisors and managers with purchase orders and cost coding
* Job costing support
* Fuel and maintenance reporting
* Support tender preparation with schedules, rates, and documentation
* Provide administrative insight to support operational decision-making
* Systems & Process Improvement
* Maintain accounting and payroll software (e.g. WIISE, Xero, Keypay or similar)
* Identify opportunities to improve administrative efficiency and accuracy
* Implement practical systems to streamline office workflows
* Support digital systems used between office and site teams

Key Skills & Experience

* Experience in an office management, accounts, or administration role
* Strong knowledge of: accounts payable and receivable processes
* Payroll administration
* Office systems and procedures
* High attention to detail and accuracy
* Strong organisational and time-management skills
* Ability to work independently and manage competing priorities
* Experience in civil construction, transport, quarrying, or plant hire industries
* Qualification in business administration, bookkeeping, or accounting
* Experience with job costing or project-based systems
* Familiarity with civil, quarrying and transport industry awards
* Experience supervising administrative staff
