Wedding & Event Music Agency looking for highly organised and reliable admin & client experience assistant to support bookings, planning coordination, and backend administration.
The Famos & Co is a boutique wedding & event music agency specialising in live music and DJing across South East Queensland and Northern NSW.
We are looking for someone to join our admin/booking team.
This is a part-time remote role starting at approximately 10 hours per week: around 2 hours per day every other day, with strong potential to grow as the business expands. Some seasonal fluctuations may occur. Work will be done remotely; however, applicants must be based locally (Sunshine Coast region) to be available for occasional in-person training or check-ins.
You will work directly with Chelsea, the founder and booking lead, supporting weddings from initial enquiry through to post-event follow-up.
About the Role:
This is more than basic admin. You will be helping manage weddings where timelines matter, communication must be precise, and details cannot be missed.
This includes responding to new enquiries, answering questions, preparing booking paperwork, confirming bookings, communicating with brides to confirm details, coordinating with our musicians/DJs, and keeping structured notes of every event detail within our system.
We currently use an admin system (across various software, including Gmail, Google Drive/Google Sheets, Google Calendar, an events CRM called StudioNinja, etc.) to track the details of every booking. Weddings are high-stakes events, so accuracy and reliability are essential. That's why our system is carefully designed to be \"leak-proof\": no details are lost, no deadlines are missed, and no tasks are forgotten.
We need someone who is very organised and reliable, has excellent attention to detail, has excellent written communication skills, and can follow processes carefully (checking instructions or asking questions whenever they are unsure to avoid mistakes).
Responsibilities include:
* Responding to new wedding enquiries via email
* Answering bride & groom questions in a warm, confident and professional tone
* Preparing invoices, contracts and booking confirmations
* Coordinating with musicians and DJs
* Preparing and sending music planning questionnaires
* Following up on planning details until everything required is confirmed
* Maintaining CRM records and internal spreadsheets
* Tracking expenses, income, liabilities, GST, tax and super
* Following up post-wedding for reviews
The Ideal Candidate:
* An exceptional written communicator with strong spelling and grammar
* Comfortable being firm and assertive while remaining warm and professional
* Highly organised and systems-driven
* Extremely detail-oriented and reliable
* Comfortable working independently
* Quick to learn new software
* Confident asking clarifying questions to avoid mistakes
Bonus if you have experience with:
* StudioNinja or similar CRM (e.g. Dubsado)
* Google Workspace (Gmail, Drive, Sheets, Calendar)
* Strong competency in Google Sheets / spreadsheets
* Text Expander / Template apps
* Weddings or events industry
Conflicts of Interest:
Confidentiality is highly valued. You must have no current conflicts of interest within the wedding or music industry. This includes not currently working for another wedding vendor, musician, DJ or entertainment business.
Hours & Pay:
* Approx. 10 hours per week initially (with growth potential)
* Flexible hours: 2 hours per day with days spread out across the week including one Saturday or Sunday, but some flexibility in which days or times (for example: every other morning; or every Monday, Tuesday, Thursday, Friday, and Sunday evening, etc.)
