This role is based in Perth, Western Australia.

Firesafe Group Pty Ltd are a leading provider of fire protection systems to the Construction, Mining, Resources and Government sectors in both Western Australia, Victoria and Internationally.

Firesafe provides all aspects of fire protection, including Wet fire sprinkler systems, water mist and deluge, Special Hazard Foam and gas suppression systems, and Dry fire alarm and detection systems.

The Role

The purpose of the Site Project Coordinator will be to support the site projects team in coordinating project activities, including monitoring project plans, schedules, document control, work hours, daily pre-starts, HSE site activities, HOTO, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner.

Duties / Responsibilities

* Ensure compliance and adherence to business systems and processes.
* Inductions and site mobilization of project managers and fire technicians/ electricians/subcontractors.
* Maintaining and monitoring project plans, project schedules, and site work hours.
* Organizing, attending, and sometimes participating in stakeholder meetings.
* Documenting and following up on important actions and decisions from meetings.
* Ensuring project deadlines are met.
* Owning and management of the project Document Control and Distribution, maintaining all registers (e.g. Training matrix, Plant & Equipment registers).
* Ensuring projects adhere to frameworks and all documentation is maintained appropriately.
* Assess project risks and issues and provide solutions where applicable.
* Chair and facilitate meetings where appropriate and distribute minutes to all project team members.
* Oversee and maintain project folders to ensure relevant data is captured, recorded, and reported.
* Ensure project documents and correspondence is managed through iTWOcx and where applicable filing system is on site, capturing all changes and updates according to the contract requirements.
* Update and deliver daily pre-starts to the site team.
* Update and deliver Toolbox Talks as required.
* Maintain and support all relevant HSE Information and regular site safety inspections.
* Meet deadlines as set out by your supervisor/manager.
* Design schedule (DTRs) ensure design task requests are raised proactively, progressively and monitored.
* Ongoing management of Site Asset Plan, Register and completion activities process (HOTO).
* Administration of the Quality Management Plan – Calibration Register, Non-Conformance & Corrective Actions Register and ITP printing for planning of Testing & Commissioning.
* Manage project demobilization and archiving activities.
* Form part of a work environment and culture with a strong focus on achievement with a focus on an improvement mindset.
* Achieve business unit objectives through self and with team members.

* Effective and constructive communication internally and externally.

Skills and Experience

* Proven Experience in a similar Project role preferably in a construction environment.
* Intermediate level skills across the Microsoft office suite of programs.
* Proven experience working across Aconex, iTWOcx, SIMPELand or cloud-based platforms.
* Professional, friendly, and confident demeanor.
* Exceptional verbal and written communication skills.
* Excellent organizational skills and ability to anticipate and meet emerging and evolving deadlines.
* Ability to multi-task and work in a busy and dynamic environment.
* Self-driven and highly motivated.
* Ability to build strong internal and external relationships and work with multiple stakeholders.
* Attention to detail coupled with resilience, confidence, versatility, flexibility, and empathy.
