You will provide clerical and operational assistance to the sea freight department. The clerical function includes invoicing, completion of documentation, arranging of transport, liaising with customers, suppliers, government authorities, and interstate/overseas offices posting of invoices.
**Key Activities**:
- Daily Sea Freight Operations (Export and Import) - handling clients' queries, including charges, vessel arrival and departure times & other general inquiries.
- Setting and establishing market leading transit time and Service performance targets for all counties.
- Measuring, monitoring, and developing strategies to improve the transit times from Oceania to the key identified lines in the network
- Inputting of data into EDI and ensuring the follow-through of all functions relating to each shipment
- Lodge SCA via EDI and get all necessary custom clearance documents
- Customer invoicing and creditor invoice processing in a timely manner and ensuring regular archiving of Client Services documentation
- Coordination with KWE overseas companies and agents
- Arranging transport in and out
- Rate negotiation with Sea Liners and the carriers
- Validation and Approval of request for payment
- Producing monthly reports reflecting the comparative statistics and related analysis
- Pro-actively seeking continuous improvement of import and export process and procedures in order to ensure the best quality service is provided to customers
- Monitoring clients' adherence to credit limit and assisting with recovery action as required
- Answering phone calls and carrying out other administrative duties as required
- Updating and maintaining customer database
- Receiving and Processing SLI for export bookings
- Cartage Booking - Coordinating pick up and deliveries of Freight / Containers
- Liaising with Shipping Lines and Co-loaders for export bookings
- Preparing export documentation
- Complete export entries e.g. EDN preparation and submission
- Filing and scanning documentation
- Monitor and ensure timely management of export shipping
- Maintain relationships with Vendors and Customers
- Sending pre alerts and sending overseas
- Perform FMC and ISF to US bound freight
- Industry knowledge of Export Ocean processes is a must
- Experience with FAK, FCL, and LCL shipments
- Excellent data entry skills with a high level of accuracy
- Attention to detail and the ability to meet deadlines
- Must know how to handle DG export Compliances with the Sydney Port Authority
- Cargowise functionality competency
- Ad hoc duties as required
- Other tasks requested by supervisor and Manager
**Requirements**:
- Cargowise knowledge is a plus
- **Sea export experience is a must**:
- A minimum of 2 years of import/export Sea Freight Operations experience
- Sea import and export freight procedure experience
- Familiar with export destination regulation e.g. to USA and Japan
- Excellent people skills and communications skills (verbal and written)
- Excellent organizational and administrative skills
- Attention to detail
- Ability to work under pressure
