The Head and Deputy Head of Communications are looking for a professional, trusted, and energetic Executive Assistant to provide exceptional organisational and administrative support. If you excel at anticipating needs, juggling multiple priorities, and keeping busy executives seamlessly on track; this could be your next big step.

About the Role

As the Executive Assistant supporting the Head of Communication and Deputy Head, you will be the go‑to person ensuring the smooth operation of day‑to‑day activities across the department. You will manage complex schedules, coordinate travel, handle confidential information, and provide critical administrative support that enables senior leaders to focus on strategic priorities.

You will:

* Act as the primary point of contact for the executives, prioritising, and actioning requests with sound judgement.

* Own, manage and optimise the executives' schedules and calendars.

* Handle confidential business and personnel information with absolute discretion.

* Manage extensive diary and email coordination, ensuring meetings, appointments and deadlines run flawlessly.

* Coordinate travel, anticipating needs and resolving issues quickly.

* Prepare, format, and manage documents, including board papers, reports, presentations.

* Draft correspondence and be available to respond to phone enquiries as needed

* Assist with meeting logistics, event organisation, and cross-team coordination.

* Coordinate documentation, ensure completion, and collate information across multiple sections, staying one step ahead of the executive to have all materials prepared, organised and ready when needed.

* Partner closely with the broader Communications leadership team to share updates, streamline processes and enable seamless operations.

What you will bring

You are confident, capable, and comfortable operating at a senior level, with exceptional organisation, strong people intuition, and the ability to stay calm under pressure.

Key capabilities:

* Strong problem‑solving skills and a proactive, adaptable mindset.

* High integrity and experience handling confidential information.

* Excellent organisational and time‑management abilities.

* Proven ability to manage multiple competing priorities.

* Strong communication, negotiation, and stakeholder engagement skills.

* Experience with travel planning and event coordination.

* Ability to work autonomously, use initiative and exercise sound judgement.

* Demonstrated experience supporting executives in fast‑paced environments.

Highly regarded:

* Experience supporting a Chief Communications Officer or senior communications leaders.

* Industry experience in communications, media, public affairs, marketing, or similar fast‑paced environments requiring discretion and strong stakeholder management.

Qualifications

* High school certificate or equivalent (business coursework desirable).

* Relevant administrative qualifications, or Certificate IV in Business Administration, or equivalent experience.
