Position reports to: Administration Manager
To provide administrative support to accountants, partners, and clients by ensuring the smooth management of client documentation, communication, and compliance requirements.
Key Responsibilities
* Greet clients and visitors in a professional, welcoming manner.
* Answer and direct incoming phone calls, emails and couriers.
* Manage incoming and outgoing mail and deliveries.
* Maintain reception and meeting areas in a tidy, presentable condition.
* Schedule client appointments and manage meeting room bookings.
* Assist with scanning, filing, and document preparation.
* Support accountants with collation of financial statements and tax returns.
* Manage signing and filing of electronic documents (e.g. Adobe, FYI, FuseSign)
* Manage daily ATOmate tasks and follow up on unsigned collations to ensure all documents are completed and lodged promptly.
* Support the administration team with general office duties.
* Maintain stationery and office supplies

* Professional presentation and phone manner.
* Proficiency in Microsoft Office (Word, Excel, Outlook).
* Experience with practice management systems (e.g. XPM, FYI,ATO Mates, Ignition, FuseSign ) desirable.
* Ability to work independently and as part of a team.
Qualifications & Experience
* Previous experience in reception or administration (1–2 years preferred).
* Experience in an accounting or professional services firm highly regarded.
* Familiarity with ATO processes and accounting workflow preferred.
* Australian work rights are required for this position.
