I am currently recruiting for a permanent, full-time Medical Receptionist position based in the heart of the Eastern Suburbs.
This clinic prides themselves on professionalism, discretion, and a warm, welcoming environment for their patients, and they are now seeking a highly organised and personable Medical Receptionist to join their team. As the first for a leading plastic and cosmetic surgery clinic point of contact for the clinic's patients, you will play a vital role in ensuring a seamless and positive experience for everyone who visits the clinic.

Your new role
Sales & Lead Management:
* Convert Leads to Consultations: Follow up on leads (from social, digital, referrals, etc.) within 2 hours, focusing on converting enquiries to booked consultations with surgeons.
* Use CRM systems (`Pipedrive` and `Genie`) to track patient journeys, manage leads, and ensure data accuracy.
* Facilitate pre-payments for consultations and create invoices for treatments and products.
* Strive to meet and exceed KPI targets.
* Promote and sell all services/products (Doctor Babor Skincare, UltraClear, Vivace, Omnilux, etc.
Administrative Duties:
* Manage booking systems for consultations, treatments, and procedures; ensure proper documentation and records are maintained.
* Communicate with patients regarding consultations, follow-ups, payments etc.
* Reconcile payments, manage admin tasks, and maintain proper filing protocols (e.g., consents).
* Maintain clinic operations (phones on/off, emails, scheduling).
Clinic & Team Support:
* Assist with maintaining procedure rooms and clinic cleanliness for an exceptional patient experience.
* Help coordinate surgical logistics, including hospital bookings, garments, and patient advice for accommodations/transport.
* Promote teamwork by supporting colleagues during downtime or high-demand periods.
Patient Experience Management:
* Be the first point of contact, ensuring professionalism and warmth in all interactions.
* Answer calls, respond to emails, and follow up with patients promptly.
* Educate patients on services and products to build rapport and trust.
What you'll need to succeed
* Demonstrating professionalism and empathy.
* Proactively support business development efforts and adapt to operational changes as needed.
* Previous experience with software such as Genie and Pipedrive is desired but not essential.
* Ability to multitask
