**Primary purpose of the role**
The Executive Support Officer is a 3 day a week part-time temporary role that is responsible for providing support services that facilitate the Finance and Operations department, including office administration tasks, diary management, meeting scheduling, on site front reception support as required and facilitates the timely payment of invoices for the department.

**Key accountabilities**
- Assess and prioritise requests and enquiries to facilitate the optimal functioning of the finance & operations team
- Manage diary appointments, records and correspondence, arrangements, and schedule and support meetings to facilitate the effective management of team
- Support and facilitate organization of events such as internal workshops and team building functions
- Maintain and update administrative practices, systems and procedures to support the efficient operation of the finance and operations team
- Provide financial support including setting up new suppliers, processing purchase orders and invoices to support efficient financial and procurement processes
- Provide on-site front of house reception support on an adhoc basis so there is always appropriate cover for the agency
- Respond to general requests and queries, organize and schedule requirements that are required from the finance and operations team eg: Board actions, papers

**Decision making**
The Executive Support Officer reports into the Chief Financial and Operating Officer and defers to that role for escalation of issues beyond the day-to-day management of tasks.
The role operates with some autonomy within the context of agreed priorities and contributes to continuous improvement initiatives.

- Demonstrated experience in providing administrative support services with a high attention to detail
- Demonstrated ability to exercise discretion and maintain confidentiality on sensitive issues.
- Ability to work on-site from Tuesday to Thursday each week.
