About the role:
Our client is seeking a resource on a 12 month contract, to support grant and communication activities across the Isaac and Mackay regions. The Communications and Grants Advisor will work with our client's Coal Communities Teams to administer and promote the community grants program across relevant Isaac and Mackay communities. Grant applications are received across two grant rounds per year and support is required to promote the grant rounds, facilitate the selection process in relation to the distribution of grants, engage with stakeholders and communicate the contributions made across the regions. Additional support is also required with grant and funding allocation and related communications for a dedicated fund relating to youth mental health and community services support.
Key responsibilities:
Essential duties and responsibilities include but are not limited to:
Grants Administration and Communication
* Receipt of applications for community grants programs
* Collation of information relating to grants applications
* Transfer of content into summarised formats for grant committee members' review
* Management of conflicts of interest for any potential committee members in the selection process
* Drafting of community grant contracts for successful applicants
* Data entry into payments system to enable transfer of grant monies
* Management of the compliance process for grants
Corporate Affairs Approval Workflow
* Organisation of any community events or employee engagement opportunities relating to the provision of the grants
* Development of communications and marketing plan and supporting material to enable promotion of grant recipients and outcomes of funding
* Develop a one pager per region wrap up newsletter at the conclusion of each round, showcasing Bright Spots, which can be communicated across each of the regions
* Provide analysis on the grants administered each year, including who the grants are going to, what the key areas of support relate to, and which organisations are applying year on year.
* Support with writing reports relating to both the community grants and the dedicated mental health funding allocation.
Marketing, Promotion and Awareness, Events Coordination
* Support the Community Team in the delivery of key community events across the Bowen Basin and/or Mackay in Qld. Such tasks could include:
* Arranging the venue, catering or other related services
* Preparing invitations and drafting communications
* Supporting with the development of internal communications and organisation of internal personnel to attend the event
* Development of related communications material following the event to promote its success.
* Stakeholder Engagement
* Lead the implementation of the Benefiting My Community Stakeholder Engagement Plan
* Engage with key stakeholders across the company - internally and externally to enable effective delivery of the grants and events tasks
Reporting
* Prepare reports for approval by the Manager Community, following the selection of recipients each round.
* Produce summary reports that detail the grant applications received, the selection process, and the final determination.
* Maintain status reports that detail where the grant is within the selection, payment, implementation cycle.
* Request close out reports from grant recipients and include that information in a central report register.
Key Competencies:
Experience
* Experience in the administration, management and communication of grants programs or similar
* Experience with reporting, and administration on projects including financial management.
* Broader project communications experience and skills desirable.
* Proven ability to work under pressure, respond quickly to changing situations in project environments, and use personal initiative.
* Good interpersonal and networking skills, highly effective team player
* Qualification or relevant experience in one or more of the following areas: marketing, communications, stakeholder engagement, journalism, design or any other relevant fields is required.
* Must have a valid driver's licence.
