Primary objective
Provide a high level of confidential, administrative and secretarial support including management of the daily business of the Executive Director, administration of Freedom of Information (FOI) processes, assistance with contract management matters and extended coordination and support to the Policy and Legal Services Unit.
Key duties and responsibilities
* Provide executive level assistance to the Executive Director, including drafting correspondence, following up on actions, preparation of minutes, coordination of meeting papers, monitoring email accounts, screening of telephone calls and visitors, electronic diary management, travel arrangements and records management.
* Coordinate and assist in the preparation of Legislative Assembly Briefs, Ministerial and Cabinet Submissions, meeting papers and briefings, general correspondence and reports.
* Provide records management support to the Unit and track all requests for information to ensure timeframes are met.
* Purchase goods and services for the Unit, including office supplies and meeting and events venues and assist with the coordination of the Unit's financial and budget information.
* Manage and track FOI applications and processes across the department.
* Support the timely and accurate coordination and support of contract management matters as they arise, including receipting bank guarantees, writing letters, and tracking outcomes.
* Provide high-level secretariat services for various committees and steering groups including the preparation of agendas, meeting minutes and briefing papers and coordinate Ministerial Council meeting processes.
* Provide support as required to the Directors and staff in the Unit and assist in the day-to-day operations of the Unit.
Selection criteria Essential
* High level of interpersonal skills with a flexible attitude and ability to adapt to change.
* High degree of verbal and written communication skills with a high level of accuracy, attention to detail and demonstrated experience in preparing correspondence.
* Reliable, highly motivated and able to work within a small team environment and without direct supervision.
* Demonstrated high level of diplomacy, integrity, confidentiality and tact in dealing with a range of individuals and organisations within all levels of government and outside organisations.
* Organisational skills of a high order with the ability to set priorities, work under pressure, plan for alternatives and complete tasks within required timeframes.
* Demonstrated experience operating effectively under a governance framework within a complex and politically sensitive environment.
Desirable
* Knowledge and understanding of procedures involved in processing Ministerial correspondence, Cabinet Submissions and Legislative Assembly Briefings and FOI administration experience.
