Reporting to the Office Manager/Executive Assistant, the Mobilisation Administrator will lead, manage and maintain the administration of worker mobilisations in INX +Process ensuring compliances, medical and travel requirements are completed for a seamless site deployment to Mardie Site.

The Role

We’re looking for a vibrant, organised and proactive Mobilisation Administrator who will oversee the Mobilisations inbox, ensuring all queries are handled promptly and efficiently. You’ll manage the day-to-day mobilisation of employees and contractors using INX +Process, supporting a smooth onboarding experience. A key part of your role will be upholding best practices, even under time pressure, and working with other departments to review and improve mobilisation processes.

You’ll collaborate with procurement to analyse provider performance and costs and build strong relationships with contractors to guide them through their obligations. Additionally, you’ll handle all corporate travel bookings these being flights, hire cars, and accommodation, and take care of related administrative tasks like updating templates and procedures. You will also work closely with our site teams, safety personnel, and training specialist to help ensure every mobilisation is compliant and well-coordinated.

About You:

The successful candidate will have a strong background in the mining and resources sector. To be successful in this role, you’ll need at least 4 years of mobilisation experience and be proficient in using INX +Process, Inflight software, and the full Microsoft Office Suite (including Excel, Word, PowerPoint, Outlook, MS Teams, and SharePoint). You should also feel confident using SharePoint to manage and store documents. It will be highly advantageous if you have up-to-date knowledge of FIFO processes, WHS standards, visa requirements, and site induction procedures. Familiarity with digital forms and mobile-based workflows (such as JotForm or QR code access systems) is also highly desirable.

The successful candidate will be required to provide a national police clearance that is not older than 3 months.

You must have current unrestricted working rights for Australia to be eligible for consideration.
