Due to continued growth, we are seeking to recruit an Administration Assistant to support operational teams in our Tighes Hill head office on a permanent full-time basis.

About the Role

Newcastle Meals on Wheels is seeking a proactive and detail-oriented Administrator to provide comprehensive administrative and coordination support to our operational teams. This role is vital for effective planning, compliance, record-keeping, and communication across our food service operations and branches.

Key Responsibilities

* Compliance and Reporting. Includes end of month reporting for food safety, stocktake, suspending and closing client accounts and invoicing. Supports quality initiatives and feedback and complaints management processes.

* Serving as the first point of contact for matters as they relate to food services, including for our internal Branch Coordinators and business to business partners – aiming for first call resolution.

* Use, development and maintenance of systems. Navigate a number of internal systems along with CRM's and Office365, with Excel being a high use program. Must be able to add data, create and interpret reports.

* Coordinate maintenance across all Newcastle Meals on Wheels buildings and equipment. This includes maintaining registers, maintenance schedules, meeting with Trades and obtaining quotes. Your ability to negotiate (for timeliness repairs/support and cost) will be well regarded with this aspect of the role.

* Supporting distribution and logistics teams while on the road

* Responsible for coordinating large-scale stock orders each month, covering stores and fresh food, packaging, and cleaning and chemical supplies.

* Support operations with volunteers

* Implement quality control procedures to ensure compliance with all relevant regulations and legislative requirements.

* Identify, report, and manage risks to ensure operational efficiency and compliance.

Skills, Experience & Attributes

* Certificate in business administration (or equivalent) and/or experience in administration within hospitality.

* Strong computer skills (Microsoft Office, CRM).

* Excellent attention to detail and record-keeping.

* Outstanding interpersonal and communication skills with the ability to multitask, prioritise, and manage time effectively.

* Demonstrated ability to work independently and as part of a team.

* Valid driver's licence.

* NDIS Workers Check and completion of the NDIS Worker Orientation Module ('Quality Safety and You').
