Position Title: Executive Assistant
Location: South Headland
Job Type: 4 month temp contract, full-time hours, immediate start
The role:
We are seeking a dedicated Executive Assistant to join our state government client based in South Headland. As the Executive Assistant, you will offer comprehensive and efficient administrative and secretarial services to the Senior Management at the health campus.
Key Responsibilities:
1. Manage and organize the Operations Manager's schedule, including appointments, meetings, and other commitments.
2. Screen incoming correspondence, redirecting it to the appropriate staff for action, and highlight urgent and important items to the Operations Manager and senior management team.
3. Initiate actions to streamline office workflow; draft and prepare correspondence as needed.
4. Provide administrative and secretarial support to committees under the Health Campus Operations Manager.
5. Coordinate internal and external communication and correspondence for the Operations Manager and senior management team.
6. Maintain records and filing systems, including organizing general office systems and ensuring the confidentiality of filing systems and data collections.
Required Skills, Knowledge, and Experience:
Essential:
- Strong interpersonal and communication abilities (both written and verbal).
- Proficient secretarial and clerical skills, including accurate word processing and minute-taking.
- Excellent organizational and time management skills, with the ability to exercise discretion and take initiative.
- Demonstrated customer service skills.
- Proven ability to use various software, including spreadsheets and word processing tools (MS Office).
Desirable:
- Relevant experience in a health service environment.
- Knowledge and exposure to government processes and procedures.
