About the role
We are seeking an experienced Business Administration Support Officer for a pivotal role that underpins Airborne Surveillance, Control and Intelligence Systems Program Office's (ASCISPO) ability to meet its governance, reporting, and strategic obligations. Acting as the primary conduit between ASCISPO and the Branch Executive Support Team, this position ensures seamless coordination of tasks and delivery of high-quality responses, submissions, and briefings within mandated timeframes.
What you will be involved withCoordinate branch‑level tasking, priorities and follow‑throughManage the Command Support Group mailbox, including triage and actioningResearch, draft and coordinate timely, accurate responses and correspondenceSupport reporting requirements and compliance activitiesAssist with strategic and business planning activitiesMaintain ASCISPO's battle rhythm, including schedules, forums and key eventsProvide high‑level administrative support to OC ASCISPOManage diaries, calendars and executive commitmentsCoordinate committees and meetings, including agendas, actions and outcomesArrange travel and associated financial processesPlan and coordinate dignitary visits and stakeholder engagementsPlan, coordinate and support the ASCISPO SPO BoardWhat we are looking forExperience in a similar executive support, program support or coordination role, ideally within a Defence, CASG or complex government environmentStrong understanding of Defence governance, reporting requirements and business rhythms, with the ability to work within established frameworksDemonstrated capability in high‑volume administration, task coordination and stakeholder managementProven experience supporting senior leaders, including diary management, correspondence, committees and decision‑making forumsHighly organised, with the ability to manage competing priorities, deadlines and sensitive informationStrong written and verbal communication skills, including the ability to research, draft and coordinate quality responsesConfidence building trusted relationships across multiple stakeholder groups, including Defence, industry and external partnersA pragmatic, outcomes‑focused approach with strong attention to detailExperience coordinating travel, finance processes, events or visits (including senior or dignitary engagements)You must be an Australian citizen and already hold, or be eligible to hold, an AGSVA NV1 security clearance.
