The Role
This position is one of two Operations Managers who support the Senior Manager in the oversight of the Events and Ceremonies team; and their coordination and delivery of the Memorial annual commemorative program, events and official visits. With a high level of initiative and sound judgment, the Operations Manager oversees the daily operations of their allocated team and supports them in the delivery of their allocated projects, visits and tasks, in addition to training and development. Responsible for records management, procurement, contractor documentation and support in the development of operational documentation, procedures and policies. The role is required to provide detailed technical advice in relation to event and ceremonial projects and assist in strategic planning and effective risk assessment and management.
Highly organised and a sound planner, the Operations Manager will work collaboratively on the high-level coordination and management of major projects such as Anzac Day and Remembrance Day; and to deliver the work program as outlined, while keeping the Senior Manager informed of their status and that of their team. This position is required to work outside core business hours, on weekends, public and school holidays as needed.
There is a requirement for working outdoors and to undertake manual handling.
The Team
The Events and Ceremonies team are responsible for the coordination and delivery of the Memorial's commemorative program, including the annual Anzac Day and Remembrance Day national commemorations, minor ceremonies, corporate events and launches; and official visits. Members of the team are allocated minor events on an individual project basis, while also being assigned a role working with the whole team on the larger national projects. The team work onsite at the Memorial and collaborate with each other, as well as teams across the organisation to ensure the commemorative program is delivered to the high standard for which we are renowned.
Core Responsibilities

* Project coordination and leadership:
o Coordinate the delivery of projects, events and VIP visits, ensuring timely and high-quality execution
o Establish and manage timeframes, deadlines, and milestones for project delivery
o Coordinate assigned official visits to the Memorial by foreign Heads of State, Government and senior international dignitaries
o Work collaboratively with the second EL1 Operations Manager and ensure team effectiveness and cohesion
o Report to the Senior Manager on project progress
* Team management and development:
o Assist in the recruitment and management of allocated team members, supervising their daily duties and assigned projects
o Provide mentorship, support, and professional development opportunities to team members, building team capability and fostering a collaborative and growth-oriented work environment
* Risk and financial management:
o Contribute to the development of comprehensive Risk Management Plans for various projects, and ensure relevant mitigations are in place
o Manage and report on project budgets, ensuring accuracy and compliance with financial requirements
o Contribute to the overall team budget management, reviewing and optimising financial processes for improved efficiency and accuracy
o Manage contracts with suppliers, ensuring compliance and the delivery of high-quality services and products
* Process improvement and documentation:
o Create, implement, and review standardised processes and documentation to enhance operational efficiency and consistency
o Prepare and submit applications for Government, Authority and Defence approvals
* Stakeholder engagement and liaison:
o Establish and maintain productive working relationships with both internal and external stakeholders, contractors and third party agencies
o Provide clear and concise guidance relating to ceremonial formats, protocols and technical specifications as required
o Represent the Memorial and the Events and Ceremonies team as required

Position Eligibility
* Under section 22(8) of the Public Service Act 1999, employees must be Australian citizens to be employed in the Australian Public Service (APS).
* All applicants external to AWM that are offered employment will be required to successfully undergo a National Police Check, even if they currently hold a security clearance. The check is conducted in accordance with the Australian Government Protective Security Policy Framework requirements.

Mandatory Requirements
* Ability to obtain and maintain a Negative Vetting Level 1 security clearance
